Job Purpose

The Executive Assistant provides high-level administrative and operational support to the Chief Operating Officer, ensuring efficient day-to-day workflow, effective prioritization, and seamless communication across the organization. This role is critical to maintaining operational cadence, supporting leadership effectiveness, and enabling strategic execution in a fast-paced, high-growth healthcare technology environment.


Key ResponsibilitiesEssential Duties
  • Own and manage the COO’s calendar, prioritizing time based on evolving business needs and strategic priorities.
  • Coordinate complex internal and external meetings, including agenda preparation, logistics, note-taking, and follow-through on action items.
  • Triage incoming communications and requests, ensuring timely responses and routing to appropriate stakeholders.
  • Draft, edit, and prepare high-quality documents, presentations, and reports for executive and external audiences.
  • Process expense reports and manage administrative workflows on behalf of the COO.
  • Serve as a key point of contact for direct reports, cross-functional partners, and external stakeholders.
  • Coordinate leadership meetings, offsites, and team events to support organizational alignment and engagement.
  • Handle sensitive and confidential information with a high degree of discretion and sound judgment.
  • Proactively identify needs, anticipate challenges, and implement solutions to keep executive priorities on track.
Other Functions
  • Support broader office coordination and administrative activities as needed.
  • Provide backup support for other administrative functions during peak periods or absences.
  • Assist with special projects and cross-functional initiatives as assigned.

Performs other related duties as assigned to support operational and business needs.

Required:

  • Exceptional organizational skills with strong attention to detail
  • Ability to manage competing priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • High level of discretion and professionalism when handling confidential information
  • Proficiency with calendaring, document, and collaboration tools (e.g., Google Workspace, Microsoft 365)
  • Proactive mindset with demonstrated ability to anticipate needs

Preferred:

  • Experience with tools such as Notion or similar workflow platforms
  • Strong cross-functional coordination and project support capabilities
  • Experience supporting executive-level communications

Work Experience Requirements

Required:

  • 3+ years of experience supporting a senior executive in a fast-paced environment

Preferred:

  • Experience supporting C-suite executives
  • Experience in healthcare, medical device, or other regulated industries
  • Experience coordinating cross-functional initiatives

Education Requirements

Preferred:

  • Bachelor’s degree or equivalent experience
