We are seeking an experienced Executive Assistant to provide full administrative support to executive level leadership. The ideal candidate will have prior experience operating within a corporate office environment. This is a full-time in office position.
This role is on-site at our Carmel, Indiana corporate office.
Duties/Responsibilities:
- Provide high-level administrative support and assistance to the Executive and other assigned leadership staff.
- Perform clerical and administrative tasks including drafting letters, managing calendars, memos, invoices, reports, and other documents.
- Prepare PowerPoint presentations, as needed.
- Running reports from Nielsen system.
- Arrange travel and accommodations for executives.
- Manage calendars, schedules meetings on behalf of executives, taking notes and recording minutes.
- Manage all vendor and contractor relationships including scheduling & project management
- Manage Sample Room and Swag Closet
- Initial contact for all legal and financial inquiries
- Receives incoming communication or memos, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
Required Skills/Abilities:
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Education and Experience:
- Bachelor’s degree in business administration or related field preferred.
- At least four years of related experience within a corporate office required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
