We have an exciting opportunity for a full-time Executive Assistant to join our Corporate Services team in Langley, BC.  

Reporting to the Executive Assistant to the President, you will be integral member of the Corporate Services team, providing high-level administrative support to the executive team. In this role, you will help drive alignment and efficiencies across day-to-day priorities, coordinate activities and ensure operations run smoothly.
You will be responsible for:

  • Managing complex calendars and competing priorities to optimize executive time.
  • Prioritizing inquiries and requests while troubleshooting conflicts; making judgements and recommendations to ensure smooth day-to-day engagements.
  • Scheduling meetings, as well as collecting and preparing pertinent information, reports and presentations, following up on action items as needed.
  • Drafting, compiling and distributing agendas, documents, reports and presentations.
  • Coordinating effectively with internal and external stakeholders.
  • Capturing high-level minutes and meeting summaries for committee and leadership meetings.
  • Making travel arrangements and reconciling expenses.
  • Working closely with the VPs to keep them well informed of upcoming meetings and commitments and following up appropriately.
  • Anticipating requirements in advance of meetings and conferences and ensuring participants are well prepared.
  • Additional administrative tasks and special projects as required. 

You have:

  • 2-3 years of experience as an executive assistant.
  • Related post-secondary education or certificate is an asset.
  • Advanced proficiency in Microsoft Office, particularly in Outlook, PowerPoint, Teams and SharePoint.
  • Experience or knowledge within the grocery industry is an asset.

  • A strong communicator, both verbal and written with exceptional interpersonal skills.
  • An analytical problem-solver who is detail-oriented with strong organizational skills.
  • A trusted professional with the ability to handle information with a high degree of tact and confidentiality.
  • Able to prioritize effectively, making quick decisions and working under pressure. 
  • Proactive, with the ability to anticipate needs and take initiative while seeking input when appropriate.
  • Able to work independently to meet deadlines, complete a high volume of tasks and projects in a fast-paced and dynamic environment.

Compensation Details:

$54,909.00 - $68,636.00

The compensation offered for this position will take into consideration location, education, skills, experience and other factors.
