We are looking for a proactive and highly organized Executive Assistant to provide comprehensive support to senior management. The ideal candidate will be skilled in AI tools, Excel, social media management, and design software, with additional experience in Jobber and QuickBooks considered a strong advantage. This role requires excellent communication skills, adaptability, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Provide day-to-day administrative support to executives, including scheduling, correspondence, and task management.
  • Utilize AI tools to streamline workflows, enhance productivity, and support decision-making.
  • Manage and analyze data using Microsoft Excel, including reports, charts, and financial tracking.
  • Oversee social media accounts, ensuring consistent branding, engagement, and content creation.
  • Create visually appealing materials using design software (e.g., Canva, Adobe Suite).
  • Support operational tasks using Jobber (workflow management) and assist with QuickBooks (financial tracking and reporting).
  • Coordinate meetings, prepare agendas, and document minutes.
  • Maintain confidentiality and professionalism in handling sensitive information.
  • Collaborate with team members to ensure smooth execution of projects and initiatives.
Qualifications
  • Education: Bachelor’s degree in Business Administration, Management, Marketing, or related field (preferred).
  • Technical Skills:
    • Proficiency in AI tools for productivity and automation.
    • Advanced knowledge of Microsoft Excel (formulas, pivot tables, data visualization).
    • Experience in social media management and content creation.
    • Strong design skills using Canva, Adobe Photoshop/Illustrator, or similar tools.
    • Familiarity with Jobber and QuickBooks (preferred but not required).
  • Language Skills: Excellent command of English (written and spoken).
  • Soft Skills:
    • Strong organizational and multitasking abilities.
    • Effective communication and interpersonal skills.
    • Ability to follow instructions and work independently.
    • Team-oriented mindset with a proactive approach.
    • High attention to detail and problem-solving skills.
