Hourly Rate: $41-44/hour, plus yearly bonus

Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. Successful candidates may be eligible to receive annual performance bonus compensation.

We are seeking a highly experienced, proactive, and trusted Executive Assistant to support our Chief Marketing and Communications Officer (CMCO) and select senior leaders. This role is designed for a seasoned professional who thrives in a fast-paced, high-performance environment and is committed to building a long-term career in executive support.

 

The Executive Assistant will serve as a key partner to the CMCO, operating as an extension of the office to ensure seamless prioritization, coordination, and execution. Success in this role requires exceptional judgment, the ability to anticipate needs and act proactively, and a strong understanding of organizational dynamics. The ideal candidate is highly organized, adaptable, and responsive, with a natural ability to build relationships and maintain alignment across leadership and the broader Executive Assistant community.

 

This role requires in-person presence (3 days) at our Secaucus, NJ office to ensure strong collaboration and connectivity.

 

 

Responsibilities

 

  • Serve as a trusted partner to the CMCO, managing priorities, time, and focus to enable maximum effectiveness 
  • Manage complex and dynamic calendars, proactively identifying conflicts, making trade-offs, and ensuring alignment to business priorities 
  • Anticipate needs and take action ahead of direction, adapting quickly to real-time changes in a high-velocity environment 
  • Act as a gatekeeper and facilitator for inbound requests, exercising sound judgment to prioritize and route effectively 
  • Coordinate and prepare for critical meetings, including Board of Directors meetings, earnings calls, and external engagements 
  • Prepare, maintain, and manage high-quality materials for Board and senior leadership meetings 
  • Manage executive communications, including drafting correspondence, screening inquiries, and ensuring timely follow-up 
  • Arrange complex travel, ensuring all logistics and contingencies are proactively addressed 
  • Develop and maintain systems to track priorities, deadlines, and key deliverables 
  • Process and manage expense reporting accurately and efficiently 
  • Build strong, collaborative relationships across the Executive Assistant network to ensure alignment and seamless coordination across leadership 
  • Maintain a high level of discretion and professionalism in handling confidential and sensitive information 
  • Provide support outside of standard business hours as needed to meet the demands of the role 
Qualifications

 

  • Bachelor’s degree or equivalent practical experience 
  • 8–10+ years of experience supporting C-level executives in a fast-paced, complex environment 
  • Demonstrated commitment to building a career in executive support, with a focus on long-term partnership and excellence in the role 
  • Exceptional organizational skills with the ability to manage multiple priorities and shifting demands with speed and accuracy 
  • Proven ability to anticipate needs, operate proactively, and exercise strong independent judgment 
  • Strong interpersonal skills with the ability to build trust and relationships across all levels of the organization 
  • High emotional intelligence and awareness of organizational dynamics, culture, and stakeholder needs 
  • Excellent written and verbal communication skills 
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and related tools 
  • Demonstrated ability to handle confidential information with discretion 
  • Professional, calm, and solutions-oriented approach in high-pressure situations 
  • Highly responsive, accessible, and adaptable in a dynamic environment
