This is an opportunity for a capable and hands on Executive Assistant who enjoys variety and working as part of a broader support team. Supporting the Group Head of Asia Pacific and Markets, you’ll provide day to day executive support while also contributing to wider team and office needs. We’re looking for someone adaptable and willing to roll up their sleeves in a changing environment - strong organisational skills and a proactive mindset matter more than decades of EA experience.
While primarily supporting the Group Head of Asia Pacific and Markets, the role will also provide ad‑hoc support to other senior leaders and be office based when relevant executives are in town.
The responsibilities will include:
- Provide end‑to‑end executive administrative support, including diary management, travel coordination and email management
- Proactively manage executives’ calendars, meetings, priorities and follow‑ups
- Build a strong understanding of executives’ workloads to anticipate needs and support effectively
- Liaise with internal and external stakeholders, including executives’ direct reports and wider teams
- Prepare agendas, attend meetings as required, and circulate minutes and action items with follow up on outcomes
- Organise, maintain and manage key documents, files and records
- Coordinate domestic and international travel and reconcile corporate credit card statements and expenses
- Manage the Sydney office, while providing remote support to the Melbourne and Brisbane offices
- Assist with office operations, including facilities, suppliers, security, health & safety, and office spend tracking
- Support on site Board meetings and office relocations when required
- Coordinate onboarding support for new starters in partnership with HR
- Maintain office documentation, guides and resources across company portals
- Build strong working relationships with the FNZ APAC Senior leadership and cross functional teams
What are we ideally looking for in a successful candidate:
- Demonstrated experience in a PA, EA and/or Office Management role, supporting senior leaders
- Previous experience in a software development, financial services or similarly fast paced environment would be an advantage
- Proven experience managing complex global diaries, extensive travel and inboxes for senior stakeholders
- Comfortable working both independently and as part of a broader support services team
- Experience supporting office operations, facilities or office management activities
- Strong stakeholder management skills, with the confidence to engage at senior levels
- Demonstrated ability to handle highly confidential information with discretion, professionalism and sound judgement at all times
- High level of organisation and attention to detail, with the ability to manage competing priorities
- Proficient in Microsoft Office and collaboration tools (e.g. Outlook, Teams, document management systems)
