Job Description

X-energy LLC is hiring an Executive Assistant. This position provides high-level administrative, operational, and strategic support to the Executive Leadership Team (ELT). The Executive Assistant manages complex calendars, communications, travel, and meeting logistics while coordinating key deliverables, board materials, and leadership forums to ensure organizational efficiency, alignment, and follow-through. This role serves as a trusted partner to executives, anticipating needs, exercising discretion, and helping drive clarity, accountability, and execution across the business.


 

Job Tasks/Responsibilities:

  • Serve as a primary decision-maker on the allocation and management of executive time, independently determining which meetings, requests, and commitments warrant executive attention and prioritization.
  • Formulate, recommend, and implement improvements to management policies, executive operating practices, and cross-functional workflows that affect the efficiency and effectiveness of business operations across the organization.
  • Act as an authorized representative of the Executive Leadership Team in interactions with internal and external stakeholders, exercising discretion to commit executive positions and convey decisions.
  • Manage dynamic and complex calendars, including prioritization, scheduling, and daily coordination across multiple teams, external partners, clients, and stakeholders.
  • Anticipate executive needs by proactively preparing materials, talking points, briefings, and follow-up actions.
  • Coordinate complex travel arrangements and logistics for meetings, speaking engagements, special projects, and other executive commitments.
  • Ensure timely communication and follow-through with team members, collaborators, and external stakeholders.
  • Maintain a high level of discretion, diplomacy, and professionalism in all forms of communication.
  • Partner closely with other Executive Assistants, the ELT, and key administrative leaders on company-wide priorities and cross-functional initiatives.
  • Lead the rhythm of business for the ELT, including leadership meetings, functional town halls, quarterly business reviews, board meeting preparation, planning sessions, and off-sites.
  • Prepare agendas, facilitate discussions as needed, document notes and action items, and ensure meetings drive clarity, accountability, and execution.
  • Support major events, presentations, campaigns, and internal or external launches with behind-the-scenes coordination.
  • Draft correspondence, presentations, agendas, and executive-level communications for internal and external audiences.
  • Read, research, route, and prioritize correspondence and requests to conserve executive time and ensure efficient response and decision-making.
  • Compile, organize, and track expense reports, calendars, documents, and related administrative materials.
  • Represent the executive in meetings or discussions, as requested, and provide appropriate follow-up.
  • Maintain organized paper and electronic filing systems and support general administrative operations as needed.
  • Identify opportunities to improve office processes, streamline workflows, and troubleshoot administrative issues.
  • Uphold a strict level of confidentiality at all times.
  • Maintain professional demeanor and behavior at all times in all forms of communication.
  • Perform other duties as assigned by manager.

Minimum Qualifications:

  • Bachelor’s degree preferred, or equivalent combination of education and experience.
  • Typically, 8 or more years of executive-level administrative experience supporting senior leaders in a complex, fast-paced environment.
  • Demonstrated ability to manage competing priorities, exercise sound judgment, and work independently with minimal supervision.
  • Strong written and verbal communication skills, including ability to prepare high-quality executive correspondence and presentations.
  • Exceptional organizational skills, attention to detail, and ability to manage sensitive information with discretion.
  • Proven experience supporting leadership and board meetings, board materials, event coordination, and cross-functional collaboration.

Preferred Skills:

  • Experience working in a corporate legal department.
  • Experience providing administrative support to a Board of Directors.
  • The ability to support multiple executives at a time.

Location: 530 Gaither Road, Rockville, MD

Work Site Expectations: 5 days a week in office

Travel Expectations: Up to 10% as needed

Hours: 8:00am-5:00pm, Mon-Fri 

Compensation

As required by Maryland and other applicable state law, X Energy, LLC (X-energy) lists the expected compensation range for a publicly advertised job opportunity based upon the job requirements (e.g. education/training, experience, skill sets, etc.).  Individual candidates who meet the job requirements for the posted position will be offered a salary within this range based on their respective levels of education/training, experience, and other qualifications unique to them.  Salary ranges may vary based on the specific office location and region referenced in the posting to take into consideration differences in cost of living and may not be reflective of all regions.  Please note that compensation ranges listed for US job postings reflect base salary only and do not include benefits or other incentives. 

A reasonable estimate for this position at the level of experience required is:

$127,195 - $211,992
