ESSENTIAL DUTIES AND RESPONSIBILITIES
Board & Executive SupportBoard Coordination & Deck Prep: Serve as a key point of contact for Board logistics. Manage the production timeline for Board materials, assisting with the layout, formatting, and finalization of high-level presentations and reports.
Meeting Management & Briefing: Attend key leadership meetings to track action items and deliverables. Prepare concise summaries for the Executive to ensure they stay aligned with team progress and strategic goals.
Confidentiality & Discretion: Manage highly sensitive information—including financial disclosures and personnel changes—with total professional discretion and sound judgment.
Strategic Calendar Management: Proactively manage a complex, shifting calendar by prioritizing meetings based on business needs. Independently resolve scheduling conflicts and ensure the Executive is fully prepared for all daily engagements.
Administrative & Personal Support: Maximize the Executive’s efficiency by handling "life logistics," including specialized administrative tasks and select personal errands, allowing them to focus on core business objectives.
Travel & Expense Management: Coordinate comprehensive domestic and international travel arrangements (flights, lodging, ground transport). Oversee detailed expense reporting and track departmental spending.
Event Planning: Lead the execution of virtual and in-person meetings, team offsites, and All-Hands events. Manage the logistics from agenda-setting through to final follow-up on outstanding tasks.
Project Coordination: Support various special projects and initiatives, ranging from senior-level onboarding to maintaining essential corporate records.
Cross-Functional Alignment: Collaborate with the national EA network to share best practices and ensure consistent administrative support across all company offices.
REQUIREMENTS (EDUCATION, EXPERIENCE, CERTIFICATIONS, AND OTHER SKILLS)
The Experience: 5+ years of experience supporting C-Suite or SVP-level executives in a high-growth, fast-paced environment.
The Toolkit: Expert-level proficiency in Google Workspace (Docs, Sheets, Slides) and/or MS Office. Experience with project management tools (Asana, Slack, etc.) is a major plus.
The Communication: Exceptional verbal and written skills. You can hold your own in a room with the C-Suite and build rapport with individual contributors alike.
The Mindset: A self-starter with a "no task too small" attitude. You remain calm under pressure and can pivot priorities in real-time without losing your footing.
Discretion: An ironclad commitment to confidentiality and professionalism.
