The Global Medical Office at Fresenius Medical Care guides the company’s medical strategy and ensures high standards of patient care, quality, and safety worldwide. Your Responsibilities:
- Manage calendars and travel for senior leaders, including the Chief Clinical Officer & Head of Digital Health (APAC), the VP Global HR Country Partnering, and selected Clinical Affairs team members
- Arrange flights, visas, itineraries, and coordinate travel logistics with overseas colleagues and external partners
- Submit expense claims on time and provide day‑to‑day administrative and secretarial support
- Proactively assist team members, stay up to date with internal systems, and manage visitor access while maintaining professional customer service
- Lead the planning and coordination of Clinical Affairs events in collaboration with the Chief Clinical Officer and the planning committee
- Define event objectives, timelines, scope, and budgets, and obtain necessary onboarding, compliance, and legal approvals
- Negotiate with vendors and oversee logistics such as venue selection, room set‑up, accommodation, and transfers
- Conduct on‑site checks and resolve issues quickly and effectively during events
Your Profile:
- Diploma or secretarial qualifications, with 3–5 years of relevant experience
- Strong English skills (written and spoken), a second language is an advantage
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- Strong in prioritizing, planning, organizing, and executing tasks
- Professional, customer‑oriented, and an effective communicator with strong verbal and written skills
- Proactive, detail‑oriented, mature, and capable of handling confidential matters with discretion
- Collaborative, willing to learn, and equipped with strong interpersonal skills
- Able to work independently, take initiative, stay well‑organized, and deliver results
