We are looking for an Executive Assistant to support two Engineering Executives in the Product & Technology organization. In this role, you'll interact with all levels of our organization as well as high-profile customers, partners, and associates. As a successful Executive Assistant, you'll manage a wide range of administrative support-related tasks that optimize our Executives effectiveness and efficiency. You are resourceful, proactive, efficient, and maintain an approachable and professional presence to internal and external contacts.
This position reports into the Manager, Administrative Assistant Enablement & Operations, will be based in our Austin, TX office and work a hybrid onsite schedule based upon their Executives' schedules (~3 days per week).
What you’ll do:
Work closely and effectively with Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
Strategize regularly with Executives, proactively handle matters, and follow-through on meetings, projects, and initiatives to successful outcomes, often with deadline pressures while maintaining confidentiality
On behalf of Executives, communicate directly and professionally with their direct reports, senior leadership, customers and partners on matters related to their organization.
Support Executive in preparation of team meetings, capture action items, run point on resolution and circulate meeting notes
Complex calendar management: Updating meeting cadences to reflect business priorities, aligning with Executives on schedules, proactively scheduling complex/large meetings, working with external and internal stakeholders regularly
Independently handle travel coordination and monthly expense reconciliation
What we’re looking for:
4+ years of tactical/strategic administrative support at the Executive level within a SaaS company, specifically in an Engineering division a plus
Bachelor’s degree in a Business Administration/related program, or equivalent work experience
High proficiency with Slack, Google Apps, Concur, Workday and MS Office Suite; Proficiency with Confluence, Jira, Atlassian a plus
Dedication to meeting the expectations of leadership and other senior executives by maintaining effective relationships across the organization
Demonstrated professionalism, exceptional communication, and interpersonal skills
Ability to remain flexible and agile in a constantly changing environment
Stakeholder management skills, ensuring teamwork, collaboration and alignment across the executive's teams.
Base Pay Range:
