Position Overview:
The Executive Assistant is responsible for providing administrative support and handling various operational functions to ensure the team is operating in an efficient manner. This role provides high-level support to Executives including calendar management, successful coordination of business meetings, email management, and business tracking. The Executive Assistant exercises independent judgment in the resolution of administrative needs and manages multiple projects and tasks simultaneously. This role plays a critical role in keeping leadership focused, the pipeline moving, and transactions closing smoothly.
Job Responsibilities:
- Manage executive calendars and schedule meetings using Teams and Outlook.
- Coordinate business meetings, leadership events, and travel arrangements.
- Handle high-volume email correspondence and draft professional, grammatically accurate communications.
- Screen incoming communications and prioritize executive response needs.
- Assist with special events planning, marketing initiatives, and gifting programs.
- Track key business metrics and support leadership reporting needs.
- Maintain confidentiality and exercise independent judgment.
- Manage and track transactions from contract to close.
- Proactively identify potential delays and implement solutions before escalation is required.
- Complete and reconcile expense reports, receipts, and reimbursements.
- Open and manage support tickets as necessary for operational needs.
- Perform various administrative tasks as needed.
Qualifications and Skills:
- High School Diploma or equivalent.
- Associate’s or Bachelor’s degree, preferred.
- 3+ years of experience in Executive Assistant support within a leadership setting.
- 2+ years of experience in transaction management or real estate coordination, preferred.
- Experience in the mortgage industry, preferred.
- Comfortable holding agents, clients, and vendors accountable to deadlines, preferred.
- Familiarity with financial tracking and monitoring operational expenses, preferred.
- Skilled in managing multiple transactions and executive priorities simultaneously.
- Skilled in maintaining attention to detail and a high level of ownership in dynamic environments.
- Excellent communication skills.
- Excellent organizational, time management, and problem-solving skills.
- Skilled in anticipating leadership needs before they arise, preferred.
- Skilled in maintaining effective follow‑through and using proactive communication, preferred.
- Skilled in maintaining professionalism in dynamic work environments, preferred.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
