About the Role

We are seeking a highly experienced and exceptionally organised Executive Assistant to provide dedicated, high-level support to the Regional Manager Australia and New Zealand and CEO Australia (CEO). This is a pivotal role requiring absolute discretion, strong judgment, and operational excellence within a complex and multinational environment.

As the trusted partner and right hand to the CEO, you will manage their day-to-day operations, communications, and priorities while navigating relationships and workflows across multiple countries, business lines, and global stakeholders. Your ability to anticipate needs, create structure, and maintain seamless communication in a matrix organisation will be critical to day to day operations.

This role is ideal for an Executive Assistant with a record of accomplishment of supporting senior global leaders and thriving in environments where cross functional coordination, cultural awareness, and organisational agility are essential.

Top Role Accountabilities: 

  • Provide comprehensive Executive Assistant support to the CEO including complex diary, inbox and priority management across multiple time zones and proactive anticipation of CEO’s needs.
  • Serve as a trusted partner who helps prioritise requests, balance global demands, and gently guide alignment with the CEO’s strategic objectives.
  • Prepare high quality meeting agendas, papers, briefs, and presentations for both local and international engagements.
  • Attend key meetings to capture minutes, track actions, and ensure timely follow‑up and closure across stakeholders
  • Coordinate communication on behalf of the CEO - managing sensitive correspondence and stakeholder interactions across the broader international network.
  • Maintain a highly organised and confidential electronic filing system for executive documents, board papers, and international communication.
  • Manage complex domestic and international travel itineraries, including multileg trips, visas, accommodation, and time zone sensitive scheduling.
  • Coordinate CEO led offsites, leadership team meetings, and regional/global forums.
  • Welcome global visitors and support international delegations.
  • Work collaboratively with EAs across international offices to ensure seamless cross border coordination.
  • Support CEO related events and corporate activities
  • Undertake confidential projects and ad hoc initiatives as required
To be successful you will have:
  • Minimum 10 years’ Executive Assistant experience, including substantial experience supporting a CEO or C suite executive.
  • A proven record of accomplishment in global organisations, confidently navigating diverse cultures, time zones, and international business practices.
  • Demonstrated experience working within a complex matrix environment with multiple stakeholders, reporting lines, and shifting priorities.
  • Strong capability preparing executive quality documents, presentations, agendas, briefing papers and reports.
  • Experience taking minutes at senior Executive or Board level meetings
  • A Diploma or Degree in Business Administration, Event Management, or a related discipline.
  • Experience in financial services, banking, or similar regulated industries (desirable).
  • Proven ability to manage sensitive information with absolute confidentiality and professional judgment
