What you'll do:
- Provide proactive administrative support to multiple C-Suite executives, including complex calendar management, travel coordination, expense reporting, and document preparation
- Serve as a trusted partner and representative for executives, ensuring timely communication and follow-through on priorities
- Manage competing priorities and maintain confidentiality with the highest level of discretion
- Coordinate and host on-site meetings and visits, including managing catering orders, greeting guests, and ensuring meeting spaces are properly set up and equipped
- Partner closely with the broader EA team to ensure seamless communication, scheduling alignment, and support coverage across the executive suite
- Anticipate logistical and operational needs, identify gaps, propose solutions, and execute without being asked twice
- Support cross-functional coordination between executives and their teams, acting as a connector and communicator when needed
- Adapt to shifting priorities and feedback while maintaining a positive, composed, and professional approach
What we’re looking for:
- 7+ years of experience as an Executive Assistant, with direct support to multiple executives at the C-suite or senior leadership level
- Proven success in fast-paced, startup or high-growth environments, with the ability to stay organized and calm under pressure
- Strong attention to detail and commitment to delivering high-quality work consistently
- Exceptional written and verbal communication skills
- Demonstrated ability to work independently while also thriving as part of a team
- High emotional intelligence (EQ) - able to read a room, build trust quickly, and navigate sensitive situations with professionalism and empathy
- A reputation for reliability, discretion, and sound judgment, someone leaders can depend on without hesitation
- Tech-savvy with strong proficiency in tools such as Google Workspace, Slack, Zoom and Teams
Must-have Requirements:
- Perform activities such as stooping, climbing, typing, standing, or sitting for extended periods of time
- Dedication to safety to mitigate industrial hazards that may include heat, cold, noise, fumes, strong magnets, lead (Pb), high voltage, and cryogenics
- Willingness to travel or work required nights/weekends/on-call occasionally
