As an Executive Assistant (EA) at OnePay, your mandate is to support members of the executive and senior leadership teams by ensuring they are able to deliver outcomes on time and at quality, while enabling collaboration across the business. You’ll serve as the operational backbone for your managed executive(s), managing calendars, travel, and expenses; overseeing team operations and projects; maintaining day-to-day organization; and driving follow-through on key priorities. To be successful in this role, you’ll need to exercise quick, sound judgment and discretion in a variety of situations, demonstrate strong written and verbal communication, administrative, and organizational skills, and maintain a realistic balance among multiple priorities. While this role is a remote position, you may be asked to travel and be in-person for offsites and company gatherings. This role reports to the Corporate Affairs & Administration Manager. You will:
Coordinate meetings, travel, and day-to-day schedule of the Executive(s), including collaboration with internal and external parties
Process expense reports and assisting with the Executives’ management of budget needs
Own and help manage day-to-day deliverables in close partnership with the Executive(s) and teams, including agendas, notes, logistics, and follow-ups and preparation of presentations, spreadsheets, and documents as assigned
Act as a liaison and trusted partner for Executive(s), relaying and exchanging information with others such as senior leaders, partners, and other organizations or colleagues
Work cross-functionally to ensure communication is efficient and clear between teams and helping support initiatives and clear communication across team(s)
5+ years experience as an assistant supporting multiple leaders
Proven ability to interact in a professional manner across all levels and teams and maintaining complete confidentiality on all business matters
Ability to provide support outside normal business hours (including weekends)
Flexible and adaptive approach to changing priorities and needs
Successful track record of arranging complex schedules and logistics
Excellent time management skills and attention to detail
Strong communication, planning, organizational and analytical skills
Ability to remain energetic and positive in a fast-paced and demanding environment
Proficiency in Microsoft Office Suite, Google Workspace, and web-based scheduling tools
