The company is expanding its administrative structure by hiring a senior-level Executive Assistant to provide high-impact operational, administrative, and bookkeeping support to its Directors, ensuring accuracy, continuity, and efficiency across international entities.
Role Overview
This is a senior Executive Assistant role combining high-level administrative support with hands-on bookkeeping and financial documentation responsibilities. The position supports the Company’s Directors across UK and US entities, requiring strong independent judgment, discretion, and the ability to manage both operational priorities and financial records. The role is fully remote, based in Latin America, with structured overlap with EMEA business hours.
Key Responsibilities
Financial and Tax Support
Support the Company’s Directors in organizing, preparing, and maintaining business tax and financial documentation for UK and US entities. Ensure financial records are complete, structured, and audit-ready.
Bookkeeping and Reconciliations
Maintain accurate financial ledgers, classify transactions, perform reconciliations, and keep financial records up to date. Work closely with Directors to ensure financial clarity and consistency. Experience with QuickBooks Online is highly valued.
Administrative Management
Manage Directors’ calendars, prioritize communications, coordinate meetings and travel, and proactively optimize schedules to improve productivity and focus.
Data and Records Management
Use Google Workspace extensively, with advanced use of Google Sheets, to track activities, transactions, and operational data. Maintain organized, searchable, and well-documented records.
Cross-functional Coordination
Provide administrative support across IT, Legal, and Service Management areas. Coordinate follow-ups between internal teams and external partners to ensure timely execution of tasks.
First Point of Contact and Problem Solving
Act as an initial operational point of contact for the Directors. Independently identify practical solutions, manage priorities, and escalate issues when required, always maintaining strict confidentiality.
Required Qualifications
Minimum two years of senior-level experience in administrative and accounting-related functions, including bookkeeping, transaction classification, and reconciliations.
Proven experience supporting senior leadership, Directors, or C-level executives in an Executive Assistant or equivalent right-hand role.
Based in Latin America, with the ability to consistently overlap with EMEA business hours.
Advanced English proficiency, C1 or C2 level, with strong written and verbal communication skills for international stakeholders.
Solid understanding of bookkeeping and basic accounting principles.
Advanced proficiency in Google Workspace, particularly Google Sheets.
Strong ability to work independently with high levels of discretion, confidentiality, organization, and attention to detail.
Nice to Have Qualifications
Hands-on experience with QuickBooks Online, including setup, transaction classification, and reconciliations.
Previous experience supporting international entities in the UK and US, particularly around financial documentation and compliance.
Familiarity with basic project coordination tools or workflows within IT, Legal, or Service Management environments.
Work Modality and Schedule
Fully remote position, based in Latin America.
Full-time role with a fixed schedule from 7:00 a.m. to 3:00 p.m. Central Time, ensuring regular overlap with EMEA business hours.
Flexibility to work asynchronously across time zones as needed to support Directors’ schedules.
