The Role
The Executive Assistant supports the CEO by managing executive logistics, ensuring preparedness, and maintaining operational standards while demonstrating urgency and precision in all tasks.
Summary Generated by Built In

Diversified Botanics operates at the intersection of wellness and operational rigor. We build products and processes that hold up under scrutiny—not just speed. Our teams move with urgency, but never without evidence, accountability, and respect for the work. This is a place for people who take pride in precision, understand the cost of shortcuts, and show up ready to contribute to a team that runs tight by design.

Note to Recruitment Agencies

Diversified Botanics does not engage external recruiting agencies. All candidates must apply directly.

What You’ll Do

  • Serve as senior operational leverage for the CEO, functioning as both a highly experienced Executive Assistant and an Associate Chief of Staff.

  • Anticipate needs, resolve friction, and materially reduce executive cognitive load through judgment, sequencing, and decisive action.

  • Own executive logistics end‑to‑end: inbox, calendar, meeting preparation, execution tracking, and follow‑through—without reminders.

  • Ensure the CEO is the most prepared person in every room, every time, through disciplined preparation, sharp synthesis, and full context.

  • Act as the anchor of the executive office—maintaining momentum, clarity, and operational rigor across priorities.

  • Use ClickUp as the system of record for priorities, decisions, action items, deadlines, and accountability.

  • Translate executive intent into precise, executable requests that preserve context as work moves across teams and external resources.

  • Coordinate and direct fractional or international execution support, setting standards and closing loops.

  • Enforce executive‑office standards for accuracy, professionalism, preparedness, and speed.

  • Operate with independent judgment; escalate only what genuinely requires executive decision‑making.

You’ll Thrive Here If You

  • View executive support and executive operations as a long‑term professional craft, not a stepping stone or rotational role.

  • Are motivated by depth, trust, and responsibility rather than upward title progression.

  • Operate comfortably under exacting standards, direct feedback, and real accountability.

  • Think several moves ahead and act before issues surface.

  • Communicate with clarity, brevity, and evidence—not emotion or guesswork.

  • Treat discretion as non‑negotiable.

  • Remain calm, focused, and decisive under pressure.

  • Take ownership instinctively and finish what you start.

  • Prefer working fully in‑office and understand why proximity matters at this level.

You May Struggle Here If You

  • Are seeking a role designed to lead to people management or a different executive title.

  • Measure growth primarily by promotion rather than increased trust and scope.

  • Need extensive onboarding, reassurance, or constant direction.

  • Prefer indirect communication, sugarcoating, or emotional framing.

  • Hesitate to make decisions or avoid accountability.

  • Confuse access with authority or proximity with influence.

  • Expect remote or hybrid work.

What You Bring

  • Demonstrated experience supporting a CEO or senior executive in a high‑expectation, fast‑moving environment.

  • Strong judgment, precise communication, and relentless follow‑through.

  • Operational discipline with a bias toward execution over explanation.

  • Comfort working with a direct, data‑driven, no‑nonsense executive style.

  • Ability to create structure, clarity, and momentum in ambiguous environments.

  • Cultural alignment with ownership, speed, candor, and precision.

Minimum Qualifications

  • Proven experience as a senior Executive Assistant or in an executive operations role.

  • Independent ownership of complex calendars, priorities, and workflows.

  • Demonstrated ability to operate autonomously with sound judgment.

  • Ability to work fully in‑office in Salt Lake City.

Preferred Qualifications

  • Experience operating in a Chief‑of‑Staff‑adjacent capacity without direct people management.

  • Background in operations, project management, or executive operations.

  • Track record of long tenure in high‑trust support roles.

  • Proven ability to enforce standards while maintaining credibility and trust.
