About the Role

Reporting to the Chief Operating Officer (COO), the Executive Assistant role plays a critical part in enabling the COO to operate efficiently and maintain focus on strategic priorities. As the COO holds an executive leadership role, the position involves broad coordination and engagement with stakeholders across the country. Based in Brisbane, the role is fulltime.

This role is fast-paced and varied, requiring a high level of organisation, discretion, and responsiveness.  The Executive Assistant will be exposed to executive-level activity and strategic initiatives, offering valuable insight into the workings of senior leadership.

The position is ideally suited to someone who thrives in a trusted support role, enjoys working closely with senior stakeholders, and is energised by contributing to a dynamic and purpose-driven environment.

This is a permanent, full-time role with a requirement to be in the office at least 3 days per week. However, there is the possibility to consider part-time hours (0.80%) or modified working hours, for the right candidate.

Key Duties and Responsibilities:

Executive Support and Diary Management

  • Provide proactive and responsive support to the COO, including complex diary management, scheduling of meetings, and resolving conflicting priorities. Ensure time is optimised to focus on strategic initiatives and high-impact activities.

Meeting Preparation and Documentation

  • Assist with the preparation and coordination of materials for meetings, including agendas, presentations, reports, and briefing notes. Accurately record and distribute meeting minutes, ensuring clear documentation of action items and follow-ups.

Stakeholder Communication and Relationship Management

  • Act as a key point of contact for internal and external stakeholders, managing communication channels and correspondence. Triage incoming requests where appropriate and ensure timely and professional responses.

Workflow Monitoring and Action Tracking

  • Monitor ongoing workflows and projects, flagging key action items and deadlines. Support the COO in maintaining visibility over priorities and ensuring timely progress across initiatives.

  • Assist with the management and maintenance of the COO team operational priorities and task list to ensure momentum is maintained across competing priorities.

Coordination of Events, Travel, and Logistics

  • Plan and coordinate logistics for meetings, events, and travel arrangements. Ensure all details are managed efficiently and professionally, including bookings, catering, itineraries, flights and accommodation.

Administrative and Financial Support

  • Manage expense claims, billing processes, and general administrative tasks with accuracy and attention to detail.

Confidentiality and Information Management

  • Handle sensitive information with discretion and professionalism, maintaining confidentiality at all times. Support the COO in managing confidential files, correspondence, personnel and financial-related documentation.

Skills/Attributes Required:

  • Strong organisation skills with the ability to prioritise tasks and adapt to changing and competing priorities.

  • Strong written and verbal communication skills, with the ability to draft clear, professional correspondence and engage confidently with stakeholders at all levels.

  • A high level of professionalism, reliability, and confidence in handling confidential information

  • Proactive and solutions-focused mindset, with a willingness to take initiative, anticipate needs, and contribute to continuous improvement.

  • Strong attention to detail, ensuring accuracy in documentation, scheduling, and administrative processes.

  • Collaborative and approachable, with the ability to build strong working relationships and contribute positively to team culture.

Qualifications and Experience required:

  • Previous experience in a Personal Assistant, Executive Assistant, or senior administrative support role.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Experience working in corporate or professional services, is highly regarded.
