About the Job:
The Executive Assistant will provide high-level administrative support to our CFO by managing schedules, monitoring and responding to emails, organizing materials for meetings, and ensuring key initiatives progress efficiently. This role will join a busy and self-motivated administrative team and will be a high profile and integral part of the organization.
Requirements
Duties & Responsibilities:
- Coordinates meetings, calls and calendar invites for internal and external meetings.
- Books and manage all travel/hotels/ground transportation.
- Project management for assigned projects related to the CFO's areas of responsibility.
- Answers emails, and forwards along messages when needed.
- Takes comprehensive notes at meetings with detailed next steps and takeaways from each meeting and follow up as appropriate.
- Helps with daily time management and priority setting for Executives.
- Run errands as requested such as lunch, personal errands, etc.
- Documents / Projects – capturing, formatting, and editing reports and presentations.
- Edits and saves documents and agreements in appropriate locations.
- Conducting calls with internal departments when appropriate.
- Preparing facilities with other members of the admin team for scheduled events and arrangements externally and internally.
Qualifications & Skills:
- Excellent written and verbal communication skills, with the ability to communicate clearly and professionally.
- Ability to manage time effectively, prioritize tasks, and maintain organized records.
- Identify and solve problems quickly and efficiently.
- Interact professionally with executives, colleagues, clients, and trading partners.
- Ability to pay close attention to detail and ensure accuracy.
- Ability to work independently and as part of a team.
Education:
- 1-2 years' experience as an Executive Assistant, preferred
- Proficient with MS Office suite (Word, Excel, PowerPoint, Outlook), and other relevant software.
