We are seeking a talented individual to support the Sr. Leaders at Marsh. This role will be based in New York City. This is a hybrid role that has a requirement of working at least three days a week in the office.
The Executive Assistant (EA) provides vital administrative support to core leaders, managing travel arrangements, calendar organization, expense tracking, event planning, document preparation, and correspondence while ensuring smooth operations. This proactive problem-solver must possess exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment, ultimately enhancing leaders' efficiency and allowing them to focus on strategic initiatives that drive the business forward.
We will count on you to:
Deliver effective and proactive calendar management by organizing, adjusting, and communicating both short- and long-term schedule requirements.
Manage travel planning, including booking arrangements and providing comprehensive agendas.
Anticipate needs and proactively address challenges to ensure seamless operations.
Process expense reports and vendor invoices in a timely manner.
Organize internal and external meetings, managing logistics such as conference rooms, invitations, video conferencing, catering, and event space reservations.
Maintain email distribution lists and team organization charts for leadership to ensure clear communication.
Collaborate with onshore and offshore administrative assistants to ensure fluid and flawless execution of duties requiring teamwork.
Liaise with various departments, including HR, Finance, Legal, IT, and Facilities, to facilitate smooth operations.
Provide support for industry-specific and client events, partnering with internal colleagues and external clients as needed.
Exercise discretion with internal and client information, ensuring compliance with internal policies and maintaining confidentiality.
What you need to have:
3+ years of executive assistant experience supporting multiple leaders, demonstrating excellent organizational and time management skills with a proven track record of meeting deadlines.
Advanced proficiency in Microsoft Office, particularly in Excel and PowerPoint, with a willingness to learn new software tools.
Strong team player capable of collaborating with multiple stakeholders and building rapport in a fast-paced environment.
High level of integrity and initiative, with a sense of urgency and the ability to proactively anticipate needs and provide effective solutions.
