The Role
Job Description

The Executive Assistant role is to support our CEO and senior leadership team. This role is integral to the success of our executive office and organization. The Executive Assistant is a highly skilled and proactive individual who acts as a trusted partner and right hand to the CEO, and senior leadership managing day-to-day operations and ensuring strategic priorities are executed seamlessly.

The EA must possess exceptional organizational, communication, and decision-making abilities, while maintaining the highest level of professionalism, discretion, and confidentiality. They must be capable of operating independently, anticipate needs, and thrive in a fast-paced environment with shifting priorities.

Please Note: This position is in office Monday through Thursday with Friday working remotely.

PRINCIPAL FUNCTIONAL RESPONSIBILITIES:

  • Calendar Management: Maintain and optimize the executive’s calendar, prioritizing meetings, appointments, and deadlines with sound judgment.
  • Communication Management: Serve as the primary gatekeeper for executive communications; draft, review, and manage correspondence and messages.
  • Meeting Coordination: Organize and coordinate internal and external meetings, including agendas, materials, and follow-up actions.
  • Travel Arrangements: Plan and manage complex domestic and international travel logistics, including itineraries, accommodations, and expense reporting.
  • Document Preparation: Draft, format, proofread, and manage reports, presentations, proposals, and other high-level documents.
  • Project Management: Lead or support projects, track progress, manage deadlines, and ensure deliverables align with strategic goals.
  • Stakeholder Interaction: Interact with internal teams, board members, and external stakeholders on behalf of the executive with professionalism and tact.
  • Expense Management: Prepare and track expense reports, budgets, and reimbursements accurately and in a timely manner.
  • Event Planning: Assist in organizing executive offsites, leadership retreats, and key organizational events.
  • Research & Analysis: Conduct research, prepare briefing materials, and support strategic decision-making.
  • Executive Delegation Support: Make informed decisions in the absence of the executive, aligned with the organization’s goals and values.

ESSENTIAL QUALIFICATIONS AND SKILLS:

  • Proven experience (5+ years) supporting C-level executives in a fast-paced environment.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with collaboration tools (e.g., Zoom, Teams, Slack) preferred.
  • Exceptional written and verbal communication skills.
  • Impeccable organizational, multitasking, and time management abilities.
  • High degree of professionalism, integrity, and confidentiality.
  • Strong interpersonal skills with the ability to build relationships and influence across all levels of the organization.
  • Demonstrated ability to think ahead, anticipate needs, and take initiative.
  • Strong problem-solving and critical-thinking skills.
  • Comfortable working both independently and collaboratively.
  • Bachelor’s degree or equivalent experience preferred

Starting range is $28.00-35.00/hour commensurate with experience, plus eligibility for a performance-based bonus program.
