Job Summary
We are seeking an Executive Assistant who will be responsible for administrative and operational support to the Co-Founders of Impiricus and the broad organization. You'll act as the day-to-day orchestrator for administrative activities across the organization, with room to grow into more senior roles.
Duties/ Responsibilities
- Proactive Management in a Client Services Industry
- Owns and drives calendar/complex meeting scheduling
- Coordinating end-to-end travel needs, including booking all travel and hotels, directions, commuting time, and ground transportation
- Support administrative aspects of Co-Founder and Company commitments
- Maintain attention to detail and proactively flag issues to ensure success
- Compose and drive email introductions and scheduling for in-person and virtual meetings for Impiricus co-founders
- Support logistics for key company-wide events
- Build effective working relationships with key stakeholders
- Understands priorities and exercises sound judgment to make appropriate trade-off
- Facilitate the scheduling process and relevant communications with friendly professionalism and high attention to detail
- Owns note taking during key meetings and ensures critical actions are followed up on time
- Work together with other Impiricus leaders and team members to support the company
- Obtain and share information with broad Impiricus team as needed; help internal team navigate internal resources
- General Administrative / Operational support
- Orchestrate booking of shared conference rooms (recurring + ad-hoc)
- Lead taking and editing of meeting notes
- Orchestrate research & booking of hotel and meeting rooms
- Support other operational activities (e.g., gift cards for client and physician surveys, etc.)
- Assisting with account planning and client relationship management
- Conducting research and gathering information
- Assisting with the creation and preparation of materials – slides, proposals, onboarding decks, including proofreading and copying/binding
- Keeping leadership informed of critical information they may not be aware of
- Performing other duties as assigned or required, including some personal support; responsibilities will vary
- General Office Management
- Office management (e.g., inventory and ordering of office supplies)
- Support and assist with in-person onboarding
- Assist with office space planning and seating arrangements
- Checking and archiving mail
Experience
- Minimum of 3-5 years of experience supporting senior leaders, ideally in a fast-paced or startup environment
- Strong proficiency in Google Workspace, Microsoft Office, and scheduling tools
- Experience with project management tools (e.g., JIRA, ClickUp) a plus
- Excellent organizational and time management skills
- Superior written and verbal communication abilities
- Proven ability to handle confidential information with discretion
- Experience coordinating travel and managing complex calendars
- Demonstrated success in event planning and execution
