Role Summary:
Provide high-level administrative support to Americas Executive Leadership team. Successful candidate possesses proven time-management skills and ability to identify and anticipate the leader’s needs. The role must interact seamlessly and with a professional demeanour across all levels of the organization.
Job Scope/Supervision:
The role does not have direct reports but will be a resource to other executive assistants within the organization.
Duties and Responsibilities:
- Assist with managing the Leadership Team’s calendars, making travel arrangements, and coordinating with time zones across the globe
- Schedules and attends meetings on behalf of executives, preparing slides, taking notes and distributing minutes as required
- Coordination for virtual and in-person executive meetings, including agenda, meeting materials and resources, and catering
- Provides support with expense reimbursement for executives, as well as system support
- Prepare and organize important legal and strategic materials and plans, and support board meetings and preparation of board materials
- Maintaining confidential and non-routine information
Required Experience/Qualifications:
- Excellent verbal and written communication skills
- Excellent organizational skills and attention-to-detail
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function effectively in a high-paced environment
- Extensive knowledge of office administration, clerical procedures, and record-keeping systems
- Proven ability to be pro-active and perform job duties independently
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook)
Desirable Experience/Qualifications:
- High school diploma required. Bachelor's degree is preferred
- 4+ years of relevant experience in supporting a C-Suite executive
Hours/Travel/Shift:
- Standard hours M-F with ability to work outside standard hours when necessary
- Travel is less than 10%
