JOB TITLE: Executive Assistant REPORTS TO: SVP of Operations
DEPARTMENT: Operations FLSA STATUS: Full-Time; Exempt
SUMMARY
Responsible for performing a wide variety of executive administrative tasks in support of the executive team. This role serves as the eyes and ears for the executive team and is considered a trusted advisor, handling highly sensitive and confidential information.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintain executives’ calendars, schedules and meeting rooms.
- Review and organize CEO’s email inbox to assist with prioritizing needed email responses
- Make and confirm executive’s travel
- Prepare meeting agendas and presentations along with taking notes, tracking action items, and distributing meeting material as requested
- Prepare and submit expense reports and process other charges/expenses via Concur for executive credit cards
- Draft, review and send communications on behalf of executives
- Maintain various records and documents for company executives
- Anticipate the various needs of the executive team, initiating support
- Maintain confidential and sensitive information
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or executives as needed
QUALIFICATIONS
- 2 year degree or minimum High School diploma or equivalent
- 3+ years of proven success supporting C-suite executives
- Required MS Office, Internet and Email experience
- Must be energetic, highly motivated, and able to work in a fast-paced environment
- Must be organized, detailed oriented, and able to efficient handle multiple tasks
- Must demonstrate ability to work well and effectively with others
- Must have excellent communication skills
