SUMMARY OF DUTIES

ESSENTIAL FUNCTIONS PERFORMED


1. Prepares all outgoing and accepts all incoming correspondence.
2. Coordinates and organizes travel arrangements.
3. Takes and distributes meeting minutes.
4. May sign for executive when technical or policy content has been authorized.
5. Notes commitments made by executive or supervisor during meetings and arranges for staff implementation.
6. Reads outgoing correspondence for executive's approval and alerts writers to any conflict with the file or departure from established policies or executive's viewpoint, and gives advance notice to resolve the problems.
7. Summarizes the content of incoming materials, specifically gathered information, or meetings to assist executive and coordinates the new information with background office resources while drawing attention to important parts or conflicts.
8. May, in the executive's absence, ensure that requests for information or action are relayed to the appropriate staff member and, as needed, interprets such requests and assists in implementing action where necessary.
9. Makes sure that information is furnished in a timely manner for the execu

tive.
10. Decides whether the executive should be notified of important or emergency matters.
11. Performs other related administrative and support duties, as required.

SUMMARY OF MINIMUM QUALIFICATIONS

• Education and/or experience equivalent to two years of college in any related field.
• Work related experience equivalent to a minimum of five years of responsible administrative and secretarial support.
• Excellent analytical skills and the ability to communicate with top level staff at a professional level.
• Excellent interpersonal and organizational skills.
• Ability to work under strict time constraints and meet deadlines in a timely manner.
• Ability to hear and use confidential company information in a responsible manner.
• Demonstrated computer skills preferably spreadsheets, word processing, database and other applicable software programs.
