Job Description
Your Role:
As the Executive Assistant to the Chief Information and Operations Officer (CIOO), you will provide high-level administrative support including calendar management, travel arrangements, expense reporting and acting as a gatekeeper for communications. This position also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
You Will Be Responsible For:
- Day-to-day global operations on behalf of the CIOO, which will include but not limited to scheduling, booking travel, and office logistics.
- Act as the point of contact among global stakeholders (executives, employees, clients, and other external partners and stakeholders)
- Plan leadership team off-sites, team-building events, and quarterly meetings
- Manage the schedule strategically to create optimal flow
- Coordinate meeting times with attendees, including on-site or off-site logistics, as needed
- Create daily meeting prep docs for Executives
- Adjust calendar based on continuous feedback from Executives
- Track meeting attendees via calendar invites
- Track daily expenses and prepare weekly, monthly, or quarterly reports
- Create comprehensive travel itineraries
- Act as a liaison between Executives and onsite staff as required
- Manage information flow in a timely and accurate manner

- High proficiency with Microsoft suite products
- 15+ years of experience of assistant support, both as an Executive and Personal Assistant
- Outstanding planning and organizational skills
- Exceptional written and verbal communication
- Proven ability to handle confidential information with discretion
- Experience working across multiple cultures and global constituents
