Position Summary:

The Executive Assistant provides administrative support to the executive leadership team and plays a key role in enhancing their productivity and effectiveness. The Executive Assistant will manage and prioritize tasks, facilitate communication, coordinate schedules, and handle complex administrative tasks with professionalism and discretion. This role requires strong organizational skills, attention to detail, and the ability to anticipate needs in a fast-paced, dynamic environment.


Key Responsibilities:

    • Manage calendars, schedule meetings, handle communications and coordinate travel.
    • Screen and prioritize emails, calls, and other communications, ensuring timely responses and flagging urgent matters.
    • Manage expenses, prepare expense reports, and reconcile credit card statements.
    • Handle sensitive information with confidentiality and professionalism.
    • Prepare meeting agendas, briefings, and follow-up notes, and track key action items and deliverables.
    • Handle logistics for board meetings, senior leadership meetings, and other company events, ensuring all requirements are met.
    • Provide support with special projects, research and initiatives as needed.
    • Build and maintain strong relationships with internal and external stakeholders, acting as a representative for executive leadership.
    • Foster a positive working relationship with the executive team.
    • Maintain an understanding of key company priorities, strategic goals, and industry trends to help anticipate the needs of executive leadership.


Requirements:

  • Education & Experience: Bachelor’s degree preferred. Minimum of 3 years’ experience as an Administrative or Executive Assistant, preferably supporting C-suite executives.
  • Skills & Qualifications:
    • Exceptional written and verbal communication abilities, with keen attention to detail.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Zoom).
    • Strong organizational and time-management skills with the ability to prioritize and manage multiple projects simultaneously.
    • High level of discretion and professionalism, with the ability to handle confidential information.
    • Ability to work independently and anticipate the needs of the executive leadership team.
    • Professional demeanor, adaptability, and ability to thrive under pressure.


Work Environment: This role is a hybrid position requiring 2-3 days per week on site. Availability outside of standard business hours may be required based on the executive leadership team’s needs and travel schedule.

Salary Range: $$50,000-$65,000

The salary range provided represents what a potential hire may expect to earn in this role at BGB. Actual salary decisions will be influenced by several factors that we use to determine overall fit, including experience (both direct and indirect), education, training, demonstrated qualifications, and organizational need. Salary is only one component of the total rewards package offered at BGB Group.
