We seek an experienced Executive Assistant to provide high-level executive and administrative support to the President of MGPS. This role requires a professional who can manage a wide range of executive support tasks and enjoys the challenges of supporting a high-level executive and a globally based Leadership Team. The ideal candidate will demonstrate exceptional judgment, superior written and verbal communication skills, and excellent organizational abilities. This individual must be capable of maintaining a realistic balance among multiple priorities and possess a thorough knowledge of company operations, policies, and procedures. The role involves handling sensitive and confidential information with discretion and professionalism.

Description and Key Responsibilities:

  • Act as the primary liaison between the President of MGPS and internal/external clients, ensuring seamless communication and coordination.
  • Travel and Expense Coordination: Coordinate complex travel arrangements and manage expense reports for the President.
  • Calendar and Meeting Management: Arrange and manage the President’s calendar, Leadership Team meetings, schedule appointments, and provide timely reminders liaising across senior stakeholders.
  • Contact Management - Establish and maintain a comprehensive database of all business contacts (internal and external).
  • Document Preparation. Utilize business software applications to prepare high-quality correspondence, newsletters, agendas, and minutes.
  • Internal Communication Facilitation: Distribute information, schedule presentations, and ensure effective internal communication reflecting global organization.
  • Presentation Preparation and Reports: Prepare detailed and appealing presentations and reports (as required) for distribution on quarterly basis.
  • Project Coordination: Ensure follow-up and assist with the coordination and monitoring of projects. –
  • Event Planning: Plan and coordinate department and external events and meetings, ensuring all logistical details are managed including visitor support.
  • Meeting Attendance and Note-taking: Attend designated meetings to take notes, prepare follow-up actions, and track progress. 
  • Administrative Duties: Perform various administrative duties as required including system access/approval for organization.
  • Travel Support: Potential for occasional travel to support offsite/remote meetings (approximately 5%).

Critical Skills & Experience–

  • Typically requires 10+ years of relevant experience in an executive support role with demonstrated ability of proactive and detail orientated support.
  • Microsoft Office Proficiency. Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Autonomous Work Ethic: Ability to work with little or no supervision, exercise significant latitude in resolving work problems, and anticipate changes.
  • Organizational Excellence: Superior organizational skills with the ability to manage multiple priorities and tasks efficiently. –
  • Communication: Exceptional written and verbal communication skills, with the ability to interact effectively with all levels of the organization.
  • Time Management: Excellent time management skills, with the ability to multi-task and prioritize work effectively. –
  • Discretion and Professionalism: Proven capacity to exercise discretion, maintain confidentiality, and demonstrate professionalism in all interactions.
  • Ability to navigate complex organization with a sense of urgency.

The pay range shown below is aligned with McKesson's pay philosophy, and pay will always be compliant with any applicable regulations. $32.15 - $53.58
