What You’ll Do

  • Calendar Management: Efficiently manage the CEO’s calendar by scheduling meetings, and appointments, and ensuring alignment with other C-suite members. Ability to handle challenging scheduling needs and prioritize conflicting demands.
  • Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, transportation, and creating detailed travel plans.
  • Expense Reporting: Prepare and submit detailed expense reports in a timely and accurate manner.
  • Board Coordination: Serve as the primary point of contact for the Board of Directors. Coordinate Board meetings, prepare necessary materials, and ensure smooth communication between the CEO and Board members.
  • Confidentiality Maintenance: Handle sensitive information with utmost discretion, maintaining confidentiality at all times.
  • Stakeholder Coordination: Liaise with internal and external stakeholders, ensuring efficient communication between the CEO and various departments or partners.
  • C-Suite Support: Collaborate with other C-suite assistants to manage cross-functional scheduling and administrative tasks, ensuring cohesive support across the leadership team.
  • Special Projects: Support the CEO with ad hoc tasks and special projects as needed, requiring strategic thinking and adaptability.

Who You Are

  • 2+ years of demonstrated experience as an Executive Assistant, preferably in a fast-paced or high-growth company.
  • Proven experience managing an executive's schedule, including meeting, appointment, and event coordination, while preventing conflicts and optimizing time through effective calendar management.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Strong proficiency in office software (e.g., macOS operating system, Google Workspace) and experience with expense management tools.
  • Excellent time management and multitasking abilities, with a proactive approach to problem-solving.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
  • Strong organizational, communication, and interpersonal skills.
  • Exceptional attention to detail.
  • Ability to think ahead, anticipate needs, and solve problems independently.
  • A positive attitude and a customer-service mindset.
  • Confidence in managing relationships with Board members, executives, and external stakeholders.
