THE OPPORTUNTY
The position of an Executive Assistant is a vital role within the Global Ethics & Compliance Function (GEC).
Here you will help Takeda realize our guiding principles of encouraging ethical behaviour and shared responsibility among all employees. This in turn empowers Takeda's unwavering commitment to patients.
RESPONSIBILITIES
1. Administration tasks
- On- and off-boarding of the global teams and teams with no assistant
- Supporting, coordinating, and optimizing the GEC on-/off-boarding process
- Organizing and facilitating meetings and workshops
- Maintaining GEC Teams Sites, WhatsApp groups, People tracker Power App
- Acting as back-up for the EA of the Chief Ethics & Compliance Officer
- Organizing IT help, Facility Management assistance, handling mail, courier shipments
2. Finance & Contracting
- Creating purchase orders (POs) and managing vendors and invoices
- Ad hoc support for monthly accruals
- Managing Ariba POs, Invoices, Accruals, Concur, travel expenses, and Jinsoku
3. Support to the Global EC Teams
- Be the go-to person for the Global Teams
- Calendar management
- Travel bookings in BCD / Expenses in Concur
- Set-up bi-weekly and monthly meetings (virtual or F2F)
- Create and follow-up agendas, taking minutes
- Prepare presentations, visual materials for internal and external meetings, ensuring content is clear & engaging
REQUIRED SKILLS AND QUALIFICATIONS
- 3+ years of experience as a personal assistant to a senior leader in an international environment
- Demonstrated experience of managing suppliers
- Proven knowledge of budget management including invoices, POs and payments
- Proficient in the use of PowerPoint, Excel,
- Experience managing Outlook calendars, overseeing e-mail communications, travel arrangements
- English, both verbal and written, at a professional level.

Salary
As a motivated employee, you should be compensated appropriately. The minimum salary for this position is € 2200 per month (full time), but your final remuneration package may be higher depending on your qualifications and experience.
