Job Description

As an Executive Assistant at BizzyCar, you will play a key role in streamlining executive workflows, managing high-level communications, and handling day-to-day operations. You will coordinate schedules, manage travel arrangements, and act as the gatekeeper for the CEO and other senior leaders. Your ability to anticipate needs, solve problems proactively, and manage confidential information with discretion will make you indispensable to our team.

Key Responsibilities:

  • Calendar and Schedule Management: Oversee and coordinate the CEO’s and leadership’s complex schedules, ensuring prioritization of high-level meetings and effective time management.
  • Travel Coordination: Organize domestic and international travel arrangements, including itineraries, accommodations, and transportation, while managing expenses and preparing travel-related reports.
  • Meeting Preparation: Prepare agendas, take meeting minutes, and follow up on action items for key leadership meetings.
  • Communication Management: Act as the first point of contact between executives and internal/external stakeholders. Screen and direct calls, emails, and requests as needed.
  • Project Management: Assist with the coordination of special projects and ensure timely completion of tasks related to company initiatives.
  • Document Management: Maintain organizational systems for files, reports, and presentations, both in physical and digital formats, ensuring easy access for the team.
  • Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
Requirements
  • Experience: 3+ years of experience as an Executive Assistant, preferably in a tech or fast-paced startup environment.
  • Exceptional organizational and multitasking abilities.
  • Advanced proficiency in Google Workspace (formerly G Suite), including mastery of Google Docs, Sheets, Slides, and Drive for efficient collaboration, data management, and document creation.
  • Strong verbal and written communication skills.
  • High level of professionalism and confidentiality.
  • Ability to anticipate needs and act as a problem-solver.
  • Time Management: Ability to prioritize and manage time effectively, especially when juggling competing demands.

Preferred Qualifications:

  • Industry Knowledge: Experience in the technology or automotive industry.
  • Education: Bachelor’s degree in Business Administration, Communications, or a related field.
  • Additional Skills: Familiarity with travel coordination for C-suite executives.
  • Personal Attributes: Strong emotional intelligence, resourcefulness, and adaptability to evolving tasks and priorities.
