Nutreco is looking for a dedicated Executive Assistant to support our CEO and one or two Functional Directors.
As an Executive Assistant, you will play a pivotal role in ensuring the smooth day-to-day operations of the leadership team. Your responsibilities will include managing complex calendars, handling administrative tasks (including preparing PowerPoint presentations), coordinating events, arranging travel, and preparing meetings. In addition, you will take on specific projects, conduct research when necessary, and provide high-level confidential support. You will work closely with the team of five other board assistants to deliver seamless support across the organization.
About The Role Executive Assistant
Responsibilities:
- Calendar management: Oversee complex diary management, ensuring effective prioritization of time-sensitive matters.
- Meeting and event coordination: Organize meetings, including preparing agendas, booking venues, and arranging catering and travel logistics.
- Document preparation: Create, format, and distribute documents, reports, and presentations using a variety of software.
- Travel arrangements: Coordinate domestic and international travel, ensuring all aspects are efficiently managed.
- Project management: Lead or assist in specific projects, providing research and ensuring timely execution.
- Administrative support: Maintain databases and administrative processes to ensure alignment with organizational needs.
- Communication: Act as the first point of contact for inquiries, responding professionally and directing matters to relevant colleagues when necessary.
Skills and Expertise
Qualifications:
- 6+ years of professional working experience in an administrative role reporting directly to upper management;
- Excellent written and verbal communication skills (Dutch and English);
- Collaboration and teamwork with great and close group of Board Assistants within Nutreco and SHV group;
- Strong time-management skills and an ability to organize and coordinate multiple projects;
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
Expectation from Role:
To succeed in this role, you must demonstrate strong collaboration skills, working closely with other board assistants to ensure seamless coordination across departments. You handle confidential information with integrity and professionalism, while maintaining adaptability to manage dynamic, ad-hoc tasks. Excellent prioritization and accountability are essential, allowing you to efficiently distinguish between urgent and important matters while holding yourself and others to high standards. You communicate effectively, tailoring messages to various audiences, and proactively plan and align your workload with organizational goals. Additionally, you bring courage to address challenging issues and continuously optimize processes for greater efficiency.
