Executive Assistant
Location: Hybrid (3 days in office per week) in Redmond, WA only
About the Role:
The Executive Assistant is committed to ensuring the effectiveness of the CFO Org (Finance, Accounting, Legal, Data Science, BI) team by providing a broad range of administrative, organizational, and functional support to the Chief Financial Officer, CFO Org Leadership, and the Company’s Executive Leadership Team (“ELT”). This position requires discretion and a professional demeanor.
The Executive Assistant will strive to stay one step ahead of the CFO, providing thoughtful and clear communication to and on behalf of the CFO, ensuring priorities move forward and expectations are clear.

Compensation Range: $85,000 - $100,000, depending on location.
Compensation ranges are determined by role and location. The range displayed on each job posting reflects the pay range for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
What You’ll Do:
- Calendar Management: Maintain leaders’ calendars, including scheduling meetings, appointments, speaking engagements, and travel arrangements. Exercise discretion in committing time and evaluating needs
- Meeting Leadership: Create agendas, distribute meeting prep materials, and publish notes/action items
- Write, edit, and distribute emails, correspondence memos, letters, and forms
- Coordinate the creation and on-time submission of regularly scheduled reports
- Book and manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals, ensuring adherence to company travel policy
- Expense management: Prepare, reconcile, and submit expense reports for leaders; review submitted reports for accuracy and pre-approval
- Project management: Responsibility for driving activities and outcomes for projects to be assigned
- Coordinate in-person, hybrid, and virtual team events
- Lead in the development of on-brand, visually appealing presentation graphics and slides
- Email Management: inbox organization, ensuring cleanliness, prioritization, and prompt and timely responses
- Determine priority of matters of attention for the CFO; redirect matters to staff to handle, or handle matters personally, as appropriate
- Keep the CFO, CEO, and other leaders advised of time-sensitive and priority issues, ensuring appropriate follow-up
- Manage the strategy and success of multiple connected projects
- Ensure robust feedback loop to measure and monitor progress on deliverables
- Maintain confidentiality and high degree of ethical standards at all times
- Routinely perform a wide variety of support duties
- Complete a variety of special projects including supporting staff recognition and morale and creating presentations, financial spreadsheets, and special reports
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed
- Exercising discretion and independent judgment in all forms of project management, to include matters of significance such as those affecting, interpreting, and implementing management policies or operating practices, as well as carrying out major assignments in conducting the operations of the business

- This role is hybrid: required to work a minimum of 3 days in office, with the option of 2 days remote
Education and Experience:
- High School Degree required; college degree or equivalent work experience preferred
- 8+ years of administrative experience, with at least 3+ years supporting a senior executive
- Knowledge of office management systems and procedures
- Advanced proficiency in Google Suite required; familiarity with Slack, Confluence, Microsoft Office Suite
