Role Summary:
As the Executive Assistant to our Chief People Officer, People Leadership Team, and Chief Legal Officer, you are accountable for coordinating the activities of several leaders. The Executive Assistant performs a wide variety of administrative support services, ranging from complex to routine, all of which contribute to the efficient and professional operation of the office team and leaders. This is an exciting opportunity for someone who is eager to learn and develop their career in the luxury retail space! You will be provided mentorship, training, and development opportunities as well as exposure to other areas within the People space.

You Also Have:

Bachelor's degree or equivalent combination of education and experience.

5+ years relevant experience in a related administrative position, ideally supporting People/HR executives or Legal executives

Intermediate to expert level competence with MS Office, Google Suite, and database applications.

Strong attention to detail.

Excellent problem solving ability.
Role Description:
-
Full calendar management for the Chief People Officer, Chief Legal Officer, and People Leadership Team, which may involve frequent adjustments and updates throughout the day, scheduling and confirming internal and external meetings, resolving scheduling conflicts that may arise.

Prepare a daily folder that contains relevant and pertinent meeting materials as identified.

Schedule and organize all aspects of meetings (booking conference room space, ordering and setting up catering as needed). Follow up on action items from internal and external meetings.

Compose written materials as requested across the People team: memos, meeting agendas, minutes, PowerPoints, etc.

Coordinate People team monthly meeting, birthdays and anniversaries calendar

Manage distribution lists for the teams, capturing new hires and other employee movement to ensure teams are receiving communications

Timely submission and tracking of expense reports.

Maintain comprehensive records on budget expenditures for the cost center.

Support on ad-hoc team projects
