About the Role

We are seeking a highly organised and proactive Executive Assistantto support Mai, our CEO, and Alexis, our Co-founder. In this role, you will be responsible for managing day-to-day administrative tasks, ensuring smooth communication, and assisting with various executive functions. Your support will be crucial to their productivity and overall success.
- Key Responsibilities:
- Calendar Management: Coordinate and manage schedules, meetings, and appointments for Mai and Alexis, ensuring their time is used efficiently.
- Communication: Act as the primary point of contact for internal and external communications on behalf of the executives, including emails, calls, and correspondence.
- Travel Arrangements: Organise and book travel plans, including flights, accommodations, and itineraries for business trips.
- Meeting Preparation: Prepare agendas, take meeting minutes, and assist in preparing presentations such as quarterly reviews and shareholder updates or reports as needed.
- Task Prioritisation: Help the executives prioritise tasks and projects, ensuring deadlines are met and objectives are clear.
- Project Coordination: Assist with various projects, track progress, and ensure timely execution by liaising with different teams.
- Confidentiality: Handle sensitive information with discretion and maintain a high level of professionalism at all times
- Previous experience as an Executive Assistant or in a similar administrative role within an agile work environment, scaling organisation.
- Excellent organisational skills and attention to detail.
- Strong written and verbal communication skills in English
- Ability to manage multiple tasks and prioritise effectively and communicate this.
- Proficient in using Microsoft Office, slack, G-suite and other productivity tools.
- Ability to work independently and handle confidential information.
- Strong interpersonal skills and the ability to build relationships with team members and external partners.

- Hybrid - 1 day per week in our Hanoi office - we trust you, and we're sure you'll do great work from home and our core working are 2pm to 8pm Vietnam Time (8am to 3pm UK time)
