About the Role
We are looking for an experienced, proactive, highly skilled, and versatile Executive Assistant to join our growing team. The ideal candidate will have impeccable judgment, discretion, integrity, initiative, and organizational skills. This person will have a demonstrated ability to pay great attention to detail while still meeting tight deadlines. The Executive Assistant must be able to work with limited supervision and prioritize work effectively.
Responsibilities
- Organizes and expedites the flow of work and manages complex calendars for the executive team and others as time permits.
- Schedules & attends meetings as needed, prepares and disseminates agendas, noting action items, disseminates meeting minutes, and follow-up on action items as required.
- Ensures and maintains confidentiality of all appropriate communications and documentation.
- Event/meeting planning (small and large scale) to include venue selection, AV, and food/beverage.
- Coordinates domestic and international travel and required documentation.
- Perform a variety of accounts payable and/or receivable activities, including preparing check requests, preparing expense reports, purchase orders, processing invoices, and/or other related activities.
- Provides routine to moderately complex administrative support for the operations and procedures of each executive’s organization.
- Organizes and prepares complex documents including reports, spreadsheets, presentations, organization charts, and contact lists.
- Receives and screens telephone calls, correspondence, and/or visitors. Answers routine questions and provides information related to general department operations, policies, and procedures using discretion for confidential or sensitive information matters.
- Performs a variety of routine clerical activities, which may include monitoring and maintaining office inventory, filing, scanning documents, copying, and/or other related activities.
- Provides support for the front desk and other admin team members as necessary.
Requirements
- 2-4 years of experience in a similar role
- Strong organizational skills, attention to detail, and timely follow-through.
- Collaborate with teams in different departments to ensure timely completion of projects.
- Proven mastery of MS Office applications including Outlook, Word, PowerPoint, Excel, and other technology tools and systems (Zoom, Teams, HRIS, expense tools, etc.)
- Must handle multiple tasks with attention to detail and little direction.
- Adapt to changing priorities and work effectively under tight deadlines.
- Strong interpersonal skills; must ensure professionalism and exercise discretion.
- Ability to make sound decisions based on available information and company policies.
- Ability to write clear and concise emails and reports and communicate effectively with colleagues and external partners.
- Ability to work well with all levels of management, staff, and outside contacts.
- Proactively identify and resolve issues to ensure smooth operations.
