Title: Executive Assistant
Client: Museum
Location: Hybrid - must commute to the office one day a week
Clearance: Ability to obtain a Public Trust
Hours: Monday – Friday from 8:30 a.m. until 5:30 p.m. ET
- Candidates should be informed that our organizational structure is not complex and
internal procedures and administrative controls are simple and informal; the supervisor
(anticipated to be the Museum's Chief Financial Officer) directs staff through face-to-face
meetings. - The supervisor may assist the EA with special assignments. Beyond this, the EA should
expect to handle differing situations, problems, and deviations in the work of the office
according to the supervisor's general instructions, priorities, duties, policies, and program
goals. - Candidates should demonstrate experience and present competence in all
of the following or comparable duties, such that if invited to interview, they will also be
prepared to give real-world examples demonstrating at least three competencies: - Drafting PowerPoint slides and familiarity with Windows and Google apps
- Personally responding to requests for information concerning office procedures
- Determining which requests should be handled by the supervisor, appropriate staff
member or other offices - Preparing and signing routine, nontechnical correspondence on their own or supervisor's name; Managing the calendar to schedule tentative appointments without prior clearance
- Arranging conferences and meetings and assembling established background
materials as directed - Attending meetings to record and report on the proceedings
- Reviewing outgoing materials and correspondence for internal consistency and
conformance with the supervisor's procedures - Assuring that proper clearances have been obtained when needed
- Collecting information from the files or staff for routine inquiries on office program(s)
or periodic reports - Referring to nonroutine requests to the supervisor or staff
- Explaining to subordinate staff their supervisor's requirements concerning office
procedures - Coordinates personnel and administrative forms for the Finance office and forwards
for processing.
