Job requirements
- Seven or more years of progressive administrative experience, including at least three years directly supporting senior leaders at Vice President level or above, with demonstrated success supporting several executives concurrently and the judgment to prioritize between genuinely competing demands
- Post secondary education in a relevant field such as business administration, office administration or project management is an asset; a high school diploma or equivalent is required
- Highly proficient in MS Office specifically; Word, Excel, PowerPoint, Visio, SharePoint, and Outlook, with experience or exposure to procurement and finance systems such as SAP, Oracle, Coupa, NetSuite or Workday, and to project delivery tools such as Procore, Primavera P6, Microsoft Project or Smartsheet
- Strong written and oral communication skills, including proven active listening, and the ability to interact effectively with executive leadership, service providers and potentially members of the community
- Thorough research and problem-solving skills, including experience with problem solving in complex projects that have a company-wide impact
- Superior time management and multitasking skills with a strong sense of urgency, and demonstrated organization, prioritization and critical thinking skills
- Proven ability to work independently and take decisions on behalf of leaders within agreed boundaries, exercising absolute discretion with confidential commercial, customer and personnel information
- Experience in data centers, construction or EPC, energy, utilities, mining or another capital-project-intensive industry, and in establishing administrative processes in a rapidly growing team rather than administering established ones, is highly regarded
- Able to satisfy pre-employment background check and site-access requirements
Job responsibilities
- Own complex, competing calendars for multiple VPs and Directors, resolving conflicts independently and protecting time for site visits and milestone reviews; coordinate high-volume travel, including lodging near remote campus locations and site-access requirements
- Prepare and track expense reports, corporate card reconciliations and mileage claims so that Finance deadlines are consistently met; draft, proofread and format correspondence, organizational announcements, presentations and briefing packs, and provide delegated inbox triage for department leaders
- Plan and run the department’s recurring meeting rhythm — leadership team meetings, project gate and milestone reviews, all-hands sessions and stakeholder updates — including agendas, pre-reads and logistics, capturing decisions, actions and owners and driving follow-up to closure
- Assemble monthly and quarterly reporting packs by gathering inputs from project managers, engineering and finance, and coordinate leadership participation in executive, board, investor and customer briefings
- Serve as the department’s primary point of contact for internal functions — Finance, Procurement, Legal, People & Culture, IT, Health & Safety and Operations — and for external consultants, EPC and general contractors and vendors, establishing clear communication pathways and escalation routes
- Intercept and resolve routine issues independently — site access requests, purchase order queries, invoice holds, onboarding delays, system permissions, facilities and IT needs — escalating only matters that genuinely require leadership attention and following up persistently until items are closed
- Support the department’s procurement lifecycle and assist with budget tracking, headcount and contractor rosters and cost accruals; administer consultant and contractor onboarding paperwork with Legal and Procurement, and maintain organized, version-controlled document repositories, standard templates and trackers
- Coordinate onboarding, offboarding and interview logistics for department hires and contractors; organize site visits, executive and customer tours, town halls and team events; and provide day-to-day workspace support, backup cover and mentoring to administrative colleagues as the department scales
