At AGC Biologics, we are looking for an experienced Executive Assistant to our President & Chief Executive Officer to join our CEO Office.
Reporting to the Chief of Staff, you will work closely with the CEO, Executive Team and colleagues across our global organization.
This is much more than managing a calendar. You will create structure, solve problems, connect the dots and ensure our CEO can focus on leading a global organization.
The position is located in Søborg – but we are open for applicants wishing to work out of our Milan office too.
What will you do?
In your new position, you will have a pivotal role. You will:
- Own the CEO’s calendar and priorities, managing a complex schedule, competing demands and last-minute changes with confidence and sound judgment.
- Coordinate global travel, including complex itineraries, international meetings and unexpected changes.
- Work autonomously and stay one step ahead, anticipating needs, preparing information and resolving issues before they become problems.
- Coordinate Executive Team meetings and activities, ensuring everything comes together seamlessly.
- Act as a trusted bridge between the CEO office and the organization, knowing when to facilitate, challenge or escalate.
- Handle confidential information with absolute discretion.
- Take ownership of special projects, administrative tasks and process improvements from start to finish.
- Keep the CEO Office running smoothly, including correspondence, expenses and meeting preparation.
Who are we looking for?
We are looking for an experienced, hands-on professional who is highly organized, proactive and comfortable operating independently in a fast-paced global environment.
You are someone who:
- Has 3+ years of experience supporting C-level executives, ideally in a global organization.
- Takes full ownership of responsibilities and can independently prioritize, make decisions and drive tasks to completion.
- Anticipates needs, connects the dots and acts without waiting for instructions.
- Has excellent judgment, discretion and communication skills.
- Can manage ambiguity, changing priorities and multiple complex tasks while maintaining high standards.
- Is confident interacting with people at all levels and across cultures.
- Is approachable and helpful, while also able to protect the CEO’s time and focus.
- Has a hands-on, “no task is too small” attitude and a strong sense of urgency.
You will need excellent written and spoken English. Italian is an advantage. A BA/BS degree is preferred, but experience, judgment and the ability to operate at executive level matter most.
Proficiency in Microsoft Outlook, Word, Excel, Teams and SharePoint is expected. An interest in generative AI and digital tools is a plus.
