POSITION SUMMARY:
Performs a variety of high level administrative and clerical duties for the Director and Department of Tribal Empowerment.
ESSENTIAL FUNCTIONS:
- Handles a wide range of administrative and support tasks and assist with special project assignments;
- Perform various grants management duties such as populating and reconciling databases and disseminates report reminders;
- Generate Tribal Council resolutions, agenda items and gathers supporting documents;
- Responsible for maintaining documents and records accordingly;
- Responsible for collating department packets, reports, binders, etc.;
- Responsible for creating and maintaining various databases and tracking tools;
- Responsible for coordinate travel arrangements for staff;
- Maintain department budget ledger and prepare disbursements and submit work orders;
- Responsible for maintaining director’s appointment schedule, coordinating meetings and events to include document assembly and other logistics;
- Manage office equipment, maintenance agreements and overall inventory;
- Maintain general supplies, equipment, inventory and orders as needed;
- Serves as a point of contact for the Director and routes other information to the appropriate personnel;
- Other position related duties as required and assigned.
Qualifications
MINIMUM REQUIREMENTS:
Associates Degree from an accredited college or university in administrative assistant, business, or other related field; 2 years related experience and/or training in administrative assistant field; must be able to attain basic first aid and CPR certification within six months of hire; must possess a valid Texas Driver License and be insurable; must be able to successfully pass a post offer drug screening and criminal history background check.
KNOWLEDGE, SKILLS AND ABILITIES:
Ability to identify participant needs and appropriate support services; ability to provide outstanding, positive and professional customer service; knowledge of all Tribal Empowerment Program policies and procedures; ability to exercise independent judgment in the resolution of administrative problems; knowledge of Microsoft Office software such Word, Excel and PowerPoint; ability to facilitate orientations and skill development workshops for YDSP Assistants; ability to communicate effectively both orally and in writing; and ability to organize and prioritize work to be performed; excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors; ability to multi task, process data-via internet, fax or interoffice mail with short notice is required and work in a team environment and willing to provide support to fellow team.

Skills Required
- Associate degree from an accredited college or university in administrative assistant, business, or a related field
- Two years of related administrative assistant experience and/or training
- Obtain basic first aid and CPR certification within six months of hire
