Job Summary:

The Executive Assistant provides high-level administrative and operational support to the President, Business Operations. This role manages a wide range of responsibilities, including complex calendar coordination, meeting and event planning, correspondence, information management, and special projects.

Serving as a key point of contact for the President, this position regularly interacts with ownership, government officials, clients, community partners, and team members at all levels of the organization. The ideal candidate is highly organized, professional, and discreet, with the ability to anticipate needs, manage competing priorities, and handle sensitive and confidential information with sound judgment.

Key Responsibilities:

  • Provide timely, accurate, and proactive administrative support to the President in support of organizational priorities and objectives.
  • Manage the President’s complex calendar, including scheduling meetings, coordinating conference calls, and resolving scheduling conflicts.
  • Serve as a primary point of contact for the President, responding professionally to requests and inquiries from internal and external stakeholders.
  • Coordinate meeting logistics, prepare materials, and communicate relevant information to attendees.
  • Plan and support client meetings, special events, and other engagements hosted on behalf of the President.
  • Attend events as needed to assist with logistics and help ensure a successful experience for guests and stakeholders.
  • Draft, review, and manage routine correspondence and communications on behalf of the President.
  • Screen and prioritize incoming calls, messages, requests, and information.
  • Organize and maintain confidential records, files, and other executive materials.
  • Distribute information to the appropriate team members and track follow-up items through completion.
  • Assist with special projects and other executive-level priorities as assigned.
  • Handle confidential and sensitive matters with professionalism, discretion, and sound judgment.

Qualifications:

  • Bachelor’s degree required.
  • Minimum of five years of experience providing direct administrative support to a C-level executive or senior leader.
  • Demonstrated experience managing complex calendars, competing priorities, and executive-level communications.
  • Experience coordinating and hosting client meetings, events, or engagements on behalf of a senior executive.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Strong organizational skills and attention to detail.
  • Ability to anticipate needs, exercise sound judgment, and work independently.
  • Ability to manage multiple priorities while maintaining a calm, flexible, and professional demeanor.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Ability to work occasional evenings, weekends, or events as business needs require.

 

Total compensation & offer package will include the following:   

  • Base Salary Range: $70,000 - $75,000
