We are seeking a talented individual to join our Service Delivery Practice at Marsh. This role will be based in Montreal and offers a hybrid work arrangement, requiring a minimum of three days per week in the office.
As an Executive Assistant, you will play a key role in keeping the office running smoothly by providing high-level administrative support to business and office leadership. We will count on you to:
- Support continuity of administrative work operations by documenting and communicating needed actions to management, discovering irregularities, and maintaining confidentiality of sensitive information
- Resolve administrative problems by analyzing information and identifying and communicating solutions to enhance performance.
- Maintain administrative workflow by studying methods; implementing cost reductions; developing reporting procedures
- Oversee office support workflow and allocation of resources, while providing quality assurance and client satisfaction with office support staff performance
- Provide peer review of documents before final production/distribution to ensure quality control of final product
- Partner with business and office leadership in addressing the office support needs of the office
- Manage calendars, schedule meetings, and arrange travel for the department to optimize work performance
- Process and coordinate completion of expense reports in a timely manner
- Handle higher level internal and external inquiries to support high level of customer satisfaction and communication
- Undertake more complex administrative duties with specific projects as required
- Provide training and assistance to other administrative staff in the department to facilitate employee development
What you need to have:
- High School Diploma
- 2-5 years of administrative assistant experience, preferably in an insurance environment or professional service industry
- Excellent communication and presentation skills in French and English, as the position requires regular interaction with clients outside of Quebec, as well as collaboration with other members of the team outside of Canada
- Proficiency in Microsoft Office with expertise in Word, Excel and PowerPoint, and capacity to learn new software
- Exceptional interpersonal, organizational, business communication, and time management skills
- Strong attention to detail and follow-up skills
- Ability to work well under pressure, multi-task, and work efficiently against deadlines
- Demonstrated problem solving capabilities
- Basic project management skills
