About the opportunity
As a Executive Assistant, Shared Services, you will provide administrative and operational support to the Shared Services Center, ensuring the efficient coordination of activities, communications, and business processes across multiple teams and stakeholders. Working in a fast-paced, multicultural environment, you will support leadership and team operations through meeting coordination, travel management, reporting, documentation, and event planning. This role requires strong organizational skills, attention to detail, discretion, and the ability to collaborate effectively across different management levels while maintaining high standards of confidentiality.
Your tasks include
  • Support the Shared Services Center with a wide range of administrative and operational activities.
  • Coordinate center initiatives and collaborate with internal teams to ensure smooth execution of business activities.
  • Organize internal and external meetings, including scheduling, agenda preparation, meeting minutes, and follow-up on action items when required.
  • Facilitate internal communications and liaise with teams to ensure timely delivery of urgent and critical information.
  • Coordinate center events and engage with stakeholders to support successful planning and execution.
  • Manage travel arrangements, including flights, hotel accommodations, and transportation services.
  • Prepare reports, presentations, and business documents while maintaining accurate electronic and paper-based records and providing support to the Director as needed.
Your profile
  • Preferably 2 to 5 years of relevant experience in an administrative, business support, or coordination role.
  • Experience working in a multicultural or cross-functional environment.
  • Ability to thrive in a fast-paced setting while managing multiple priorities effectively.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Strong written and verbal communication skills with confidence in interacting across different levels of the organization.
  • Team-oriented mindset with high attention to detail and a strong commitment to confidentiality.
  • Experience in a Shared Services Center environment is advantageous; familiarity with AI tools such as Microsoft Copilot or ChatGPT and a continuous improvement mindset are considered strong assets.
