Overview:
As Team Assistant, you'll be a trusted partner to our Teams, the kind of person who quietly makes everything run better for the people around them. Your attention to detail, strong communication, and genuine care for the people you support will be essential to our success.
Day to day, you'll manage schedules and calendars, coordinate meetings, travel, and events, while assisting with a variety of tasks. You'll handle confidential information with discretion and act as a connector across the global business, helping information and priorities flow smoothly in both directions. This is a role built on “team over players,” you'll put the team's needs first and take real ownership of the outcomes you're responsible for.
Responsibilities and Duties:
- Proactively manage schedules and calendars
- Arrange domestic and international travel itineraries, including flights, accommodations, transportation, visas and meetings
- Organize and coordinate meetings, including agenda preparation and meeting materials
- Provide administrative support, such as expense management, reports, invoices etc.
- Collaborate cross-functionally with Teams to ensure smooth project delivery and alignment with priorities, as well as team events
- Take on varied tasks that require care, curiosity, and good problem-solving, the kind of work that makes a real difference to the people around you
- Handle sensitive information thoughtfully and with care, protecting the trust placed in you by the team
- Look for ways to improve how things run, helping Teams and the wider business work better together
- Stay organized and self-sufficient across multiple time zones, while staying closely connected with the wider team
Skills:
We care more about how you operate than the shape of your CV. No prior experience as an assistant is required, we want people from all kinds of backgrounds (military, ops, hospitality, events, retail, customer service, aviation, startups, or anywhere else you learned to keep things running) who can bring the following:
- A track record of supporting others in a way that builds trust and makes their day-to-day easier, whether that was a team, a customer, a unit, or a project
- Excellent written and verbal communication skills
- Comfort working in a fast-paced, fast-changing environment; startup or scale-up experience is a plus, but not a requirement
- Ability to juggle competing priorities, calendars, logistics, travel, deadlines, across different time zones
- Willingness to go the extra mile and be flexible with working hours when necessary
- A natural instinct for anticipating what people need before they ask, and the initiative to just get things done; you own the outcome, not just the task
- A collaborative, low-ego approach; you're motivated by things working well for the team, not by individual recognition
- Comfort picking up modern tools quickly (e.g., Google Workspace, Slack, etc.)
- Fluent in English (German also desirable)
- CH / EU citizenship is required
- Willingness to travel

Skills Required
- 3+ years of experience supporting a senior executive team
- Excellent written and verbal communication skills
- Proven experience working for a fast-paced start-up/scale-up
- Experience in tech (ideal)
- Previous experience with complex calendar management across time zones
- Willingness to be flexible with working hours when necessary
- Ability to manage multiple tasks in a fast-changing environment
- Ability to anticipate executive needs and work autonomously
- Proficiency with modern tech tools (e.g., Google Workspace, Slack)
- Fluent in English
- Fluency in German
- CH / EU / US Citizenship is required
- Willingness to travel occasionally
