Job Description:

Executive Assistant (Global Senior Leader Support)

Overview

We are seeking a highly capable, resilient, and adaptable Executive Assistant (EA) to provide comprehensive support to a senior global leader operating in a complex, fast-paced, and highly dynamic environment. This role requires exceptional organizational capability, sound judgment, and the ability to remain effective amid competing priorities, evolving business needs, and time-sensitive situations requiring rapid response and reprioritization.

The successful candidate will serve as a trusted partner, managing complexity, enabling executive effectiveness, and ensuring seamless day-to-day operations across a global portfolio.

This role is best suited for candidates who have excelled in environments where priorities shift quickly, urgent issues arise unexpectedly, and maintaining composure, discretion, and exceptional execution under pressure is essential.

What will you do?

Executive & Calendar Management

  • Own and proactively manage a highly complex global calendar across multiple time zones

  • Prioritize and sequence meetings to optimize executive time and business outcomes

  • Anticipate scheduling conflicts and independently resolve competing demands

  • Rapidly adjust schedules and priorities in response to emerging business needs, urgent matters, and changing executive requirements

  • Manage frequent reprioritization while ensuring critical commitments remain on track

Inbox & Communication Management

  • Manage a high-volume executive inbox, including triaging, drafting responses, and flagging priority items

  • Act as a trusted gatekeeper, ensuring timely follow-up and effective communication flow

  • Track key decisions, deliverables, and action items

  • Exercise sound judgment in identifying, escalating, and coordinating time-sensitive matters requiring immediate attention

Travel & Logistics

  • Coordinate extensive domestic and international travel, including detailed itineraries

  • Manage travel in an environment where plans may change with little notice

  • Develop contingency plans and alternative arrangements to minimize disruption

  • Remain calm, resourceful, and solutions-focused when responding to unexpected changes or urgent requests

Stakeholder Coordination

  • Partner with senior leaders, internal partners, and external stakeholders globally

  • Build strong relationships to facilitate efficient decision-making and information flow

  • Support preparation for key meetings, including briefing materials and follow-up activities

  • Coordinate sensitive and time-critical activities with discretion, professionalism, and urgency

In-Person Support

  • Provide an in-office presence at the Toronto location approximately three days per week

  • Provide on-site executive support and coordinate logistics for in-person meetings and events

What You Bring

  • Proven experience supporting senior executives in a global, complex environment

  • Experience supporting leaders in highly dynamic, operationally critical, regulated, or rapidly changing environments is strongly preferred

  • Exceptional calendar and inbox management skills with strong attention to detail and prioritization capabilities

  • Demonstrated ability to remain organized, decisive, and effective during periods of heightened activity, unexpected challenges, or urgent situations

  • Strong judgment, discretion, and ability to manage highly sensitive information

  • Proven ability to adapt quickly, reprioritize effectively, and maintain a high standard of execution under pressure

  • Strong problem-solving skills, risk awareness, and the ability to anticipate issues before they arise

  • Highly proactive, resourceful, and accountable

Working Model

In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
