At Fervo Energy, Integrated Operational Services (IOS) brings together HSSE, Site Services, and Office Facilities under one team, creating a coordinated function that supports our field and office operations as we continue to scale. 

The Executive Assistant provides executive-level administrative support to the Vice President of Integrated Operational Services while supporting administrative needs across the department. This role is responsible for managing calendars, coordinating travel, preparing meeting materials, facilitating communication, and supporting day-to-day operations to help keep the team running efficiently. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining a high level of professionalism and discretion.

Responsibilities

  • Manage complex calendars, travel arrangements, expense reports, and scheduling for the VP of IOS and members of the IOS leadership team 
  • Coordinate meetings, prepare agendas and materials, and track action items to ensure priorities and deadlines remain on track 
  • Prepare, edit, and format presentations, reports, correspondence, and other business documents 
  • Support recruiting, interview scheduling, onboarding, and other administrative activities for the IOS organization 
  • Maintain organized files, document repositories, and departmental records 
  • Coordinate team meetings, offsites, and department events 
  • Serve as a liaison between the IOS leadership team and internal and external stakeholders 
  • Handle confidential information with professionalism and discretion 
  • Provide administrative support and assist with special projects as assigned 

Required Qualifications

  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar administrative professional supporting senior leadership
  • Demonstrated ability to manage complex calendars, travel arrangements, meetings, and competing priorities
  • Strong proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Experience with SharePoint or similar document management systems is a plus
  • Excellent organizational and time-management skills with strong attention to detail
  • Strong written and verbal communication skills
  • Ability to interact professionally and confidently with senior leaders, employees, vendors, and external stakeholders
  • Proven ability to handle confidential information with discretion
  • Proactive, resourceful, and able to work independently with minimal supervision
  • Ability to adapt quickly and remain organized in a fast-paced, evolving environment
  • Experience in an industrial, energy, engineering, construction, manufacturing, facilities, or HSSE environment is preferred

Location

Fervo Energy is headquartered in Houston, TX, with growing offices in Golden, CO; Reno, NV; Oakland, CA; and Salt Lake City, UT. This position will be eligible for some hybrid work flexibility, but regular in-office presence at the Houston office will be required.   

Skills Required
