Who we’re looking for
We are seeking a highly organised and proactive Executive Assistant to provide dedicated support to the Head of Wealth Management, Asia (“HWMA”). This role sits at the heart of the leadership team, requiring strong judgment, discretion, and the ability to operate effectively in a fast-paced, client-driven environment.
Beyond traditional administrative support, this role will act as a trusted partner to the HWMA—supporting strategic initiatives, coordinating across regional stakeholders, and contributing to the efficient running of the Wealth Management business in Asia.
You will be detail-oriented, solutions-driven, and confident managing competing priorities, with the ability to engage effectively with senior internal and external stakeholders.
Key Responsibilities:
Executive & Administrative Support
- Act as the primary point of contact for the HWMA, coordinating all administrative and logistical matters with internal and external stakeholders
- Manage a complex calendar, including scheduling meetings, conferences, and cross-border engagements across multiple time zones
- Coordinate and facilitate internal and external meetings, including preparation of materials, logistics, and follow-up on key action items
- Handle correspondence (emails, calls, and other communications) with professionalism and discretion
- Arrange business travel, accommodation, and detailed itineraries
- Process expense claims and reimbursements accurately and in a timely manner
- Organise and maintain documentation and filing systems to ensure efficient retrieval of information
- Coordinate virtual and in-person meetings, including video conferencing setup and liaison with AV support where required
- Compile and consolidate regular management reports (e.g. MIS) from various stakeholders
Strategic & Project Support
- Support the HWMA in driving strategic initiatives, including coordination, tracking, and execution of key projects across the Wealth Management business
- Act as a central coordination point across functions to ensure alignment and timely delivery of key business priorities
- Assist in building and maintaining an effective operating cadence for the leadership team
Team & Culture Initiatives
- Coordinate firm-wide and team-specific events, including offsites, townhalls, and annual events
- Support onboarding and integration of new joiners into the Wealth Management business
- Organise team engagement activities (e.g. team building, client events, internal gatherings) to foster a positive and high-performing culture
Ad Hoc Support
- Provide flexible, high-quality administrative and project support on additional tasks as assigned by the HWMA
The knowledge, experience and qualifications you need
- Proven experience supporting senior executives, ideally within wealth management, private banking, or financial services
- Strong organisational and time management skills, with the ability to prioritise effectively in a dynamic environment
- Experience managing complex calendars, travel arrangements, and senior stakeholder coordination
- High level of discretion and professionalism when handling confidential information
- Proficiency in Microsoft Office and collaboration tools (e.g. Outlook, Teams, PowerPoint, Excel)
- Degree or relevant professional qualification preferred
