Job Overview
We are seeking a highly organized, proactive, and strategic Executive Assistant to provide comprehensive support to a Senior Vice President, their leadership team and broader Services organization at Pune. The ideal candidate will serve as a trusted partner, ensuring operational efficiency, enabling executive focus on strategic priorities, and fostering seamless collaboration across a global organization.
This role requires exceptional judgment, strong business acumen, outstanding communication skills, and the ability to manage multiple priorities in a fast-paced, global environment. The Executive Assistant will act as an extension of the executive office, driving productivity, facilitating communication, and supporting key business initiativesKey Responsibilities
Executive Support• Manage complex and dynamic executive calendars across multiple time zones.• Prioritize meetings, resolve scheduling conflicts, and optimize executive time.• Coordinate domestic and international travel arrangements.• Prepare detailed itineraries, agendas, briefing materials, and meeting logistics.• Support executive participation in leadership meetings, board reviews, town halls, and customer engagements.• Manage executive expenses and administrative processes.
Strategic Operations• Partner with the executive to track strategic priorities, action items, and commitments.• Drive follow-up on leadership team decisions and ensure timely execution.• Coordinate quarterly business reviews, operating reviews, talent discussions, and planning activities.• Assist with preparation of executive presentations, dashboards, communications, and reports.• Monitor organizational priorities and proactively identify opportunities to improve effectiveness.
Communication & Stakeholder Management• Serve as a primary point of contact for internal and external stakeholders.• Facilitate communications between executives, leadership teams, and business partners.• Draft, review, and manage executive correspondence and communications.• Build effective relationships across all levels of the organization.
Meeting & Event Management• Organize leadership meetings, off-sites, workshops, and executive events.• Prepare agendas, meeting materials, minutes, and action trackers.• Coordinate logistics for global virtual and in-person meetings.• Support team engagement activities and culture-building initiatives.
Project & Program Coordination• Support planning and execution of key organizational initiatives.• Track milestones, deliverables, and dependencies across multiple teams.• Assist with organizational change management and communications.• Coordinate cross-functional activities and ensure alignment among stakeholders.
Administrative Excellence• Maintain confidential information with the highest degree of discretion.• Support onboarding, organizational changes, and team operational activities.• Coordinate access requests, distribution lists, team resources, and administrative tasks.• Continuously improve processes, tools, and workflows to enhance efficiency. • Bachelor's degree or equivalent experience.• 5+ years of experience supporting senior executives (VP, SVP, or equivalent level).• Demonstrated success managing complex executive calendars and global stakeholder interactions.• Strong organizational and project coordination skills.• Strong presentation, report preparation, and executive communication skills.• Advanced proficiency with Microsoft 365, including Outlook, Teams, PowerPoint, Excel, Word, and Copilot.• Strong attention to detail and ability to manage multiple priorities simultaneously.• Ability to exercise sound judgment and maintain strict confidentiality.
