The Executive Assistant is responsible for executing a range of administrative duties and overseeing the information dissemination for several Leaders and their associates within the organization. They provide exemplary customer service characterized by professionalism, confidentiality, and prudent judgment. This position requires robust administrative competencies, proficiency in Microsoft Office suite applications such as Excel, Outlook, and PowerPoint, as well as the capability to organize and coordinate multiple responsibilities, prioritize daily tasks, and uphold a courteous and respectful demeanor. This position is 100% in-office, Monday through Friday, from 8:00AM to 5:00PM, with one exception: one day each week, an earlier arrival will be required for meetings that begin at 7:30AM.
What You'll Do
- Guest Experience: Provide a branded, warm-welcoming support for the Suite. Polished image and business attire is a requirement. Confidentiality is essential to the Suite.
- Meeting Coordination: Assist staff with reserving rooms and hotel office space. Assist with setting up meetings, audio/video setup, and ordering meals. Attend some meetings to monitor room devices. Collaborate with Tech Teams to ensure room devices are operational. Manage room calendars. One day a week, an early room setup will be required for meetings that begin at 7:30AM.
- Agenda Management: Coordinate and distribute multiple meeting agendas throughout the week and draft meeting minutes. Attend meetings to compose meeting minutes.
- Collaboration and Communication: Work with various business groups (e.g., Tech Support, Corporate Real Estate, Security Guards, and Building Management) that support the Suite. Respond to general Office inquiries. Send mass communication on behalf of team members. Draft, edit, and proofread correspondence and PowerPoint presentations.
- Office Management: Oversee daily office operations. Ensure the office is well-supplied, clean, organized, and maintained. Create procedures to support a functional office for the teams; mail management, supply ordering, badge access, maintenance requests, and other facility needs.
- Website Management: Update internal SharePoint websites for teams.
- Travel, Expense, and Invoice Management: Track expenses and process invoice payments. Make travel arrangements for Executives. Complete expense reports.
- Other: Provide other administrative support as necessary and special projects as assigned.
Qualifications
- 5-7 years of relevant experience
- Proven experience of recognizing the necessity of adhering to pre-established timetables without compromising on quality
- Anticipate the needs of leadership by proactively managing complex calendars
- Ability to manage seamless logistics for meetings and presentations including booking venues and prepping materials
- Highly proficient in Microsoft Suite
- Background in financial industry a plus
- High degree of personal integrity to build and maintain trust across senior leadership, internal teams and external partners

Compensation
The estimated hourly rate for this role is $27.00 - $39.50 along with eligibility to earn an annual bonus. Actual salaries may vary based on several factors, such as a candidate’s qualifications, skills and experience.
