The Executive Assistant & Trustee Liaison is a strategic and operational partner who provides high-level administrative, fundraising, and governance support to the Director of Development while serving as the primary liaison to the Board of Trustees. Acting as the central point of coordination for trustee engagement, this role manages the Board experience—from planning and executing meetings and events to supporting governance processes and committee work—ensuring a seamless, high-quality experience for Trustees, Emeritus Trustees, and affiliated committees or working groups.

This position leads the strategic vision, planning, and execution of Board operations, including developing agendas, coordinating committee activities, and overseeing logistics for meetings, field trips, orientations, and special events. It ensures adherence to governance standards and supports nominating and onboarding processes while maintaining accurate documentation, meeting minutes, and trustee records. A key responsibility is managing and producing polished Board materials, including pre-reads, presentations, and post-meeting deliverables, all of which meet organizational standards.

Working in close partnership with the Director of Development, State Director, and senior leadership, the Executive Assistant & Trustee Liaison aligns trustee engagement with broader fundraising and organizational priorities. The role supports leadership fundraising efforts by coordinating high-priority initiatives, preparing briefings and materials, tracking progress, and facilitating donor and partner engagement. It also contributes to donor relations through correspondence, acknowledgments, responses to inquiries, and stewardship activities.

In addition, the role provides comprehensive executive support, including calendar and travel management, meeting preparation, correspondence drafting, and special project coordination. The position anticipates needs, manages competing priorities, and serves as a trusted resource to leadership. It also develops and refines processes, systems, and tools—leveraging platforms such as CRM and project management systems—to improve efficiency, track metrics, and enhance team effectiveness.

Combining discretion, sound judgment, and a high level of professionalism, the Executive Assistant & Trustee Liaison plays a critical, highly visible role in ensuring cohesive volunteer leadership experiences, strong governance practices, and effective advancement of fundraising and organizational goals.

  • Bachelor’s degree and 3 years related experience or equivalent combination.

  • Experience generating reports and analyzing and interpreting data.

  • Experience managing the schedule and contacts of a senior leader.

  • Experience with database management.

  • Experience working across departments.

This position requires a valid driver's license and compliance with TNC’s Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers." Employment in this position will be contingent upon completion of a Vehicle Use Agreement, which may include a review of the prospective employee's motor vehicle record.

Salary Information:

The starting pay range for a candidate selected for this position is generally within the range of $71,500 - $75,000. This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
