We are seeking a highly organized and proactive Executive Assistant to provide strategic pricing oversight and executive-level administrative support for our property management portfolio. The ideal candidate combines expertise in dynamic or variable pricing systems (e.g., PriceLabs, Airbnb Smart Pricing, Expedia) with operational knowledge of short-term rentals or real estate.
This role requires a self-starter capable of managing pricing strategies, analyzing performance metrics, and supporting executive-level administrative functions with precision and discretion.
Requirements
Key Responsibilities:
- Manage and optimize dynamic pricing for multiple properties using PriceLabs or similar tools
- Adjust rates based on occupancy trends, seasonality, local events, and competitor pricing
- Monitor competitor pricing and market conditions to recommend strategic rate changes
- Track and analyze key performance metrics (occupancy, ADR, RevPAR) and generate reports
- Conduct market research to identify revenue growth opportunities and emerging trends
- Develop pricing strategies for new properties, special events, or seasonal campaigns
- Ensure pricing consistency across all booking platforms (Airbnb, Vrbo, Booking.com, etc.)
- Collaborate with property managers and operational teams to implement pricing strategies
- Test and optimize promotions, discounts, and special offers to maximize revenue
- Manage executive-level email, calendar, and scheduling with discretion
- Prepare and maintain SOPs, process manuals, and pricing policies
- Organize, reconcile, and track property-specific financial reports, invoices, and expenses
- Support marketing campaigns, including content scheduling, email newsletters, and social media coordination
- Audit listings and dashboards to ensure operational accuracy
- Handle guest communications related to bookings, pricing, and policies
- Assist in project management, coordinating tasks, deadlines, and follow-ups across teams
- Maintain confidentiality of sensitive business, guest, and financial information
- Identify process improvements and implement efficiency measures across operations and admin workflows
- Prepare executive summaries and reports to inform business decisions
- Support onboarding and training of new team members on pricing systems and administrative processes
- Coordinate with third-party vendors and partners for operational or marketing initiatives
Qualifications & Skills:
- Minimum 3 years of experience as a Virtual Assistant, Executive Assistant, or Administrative Coordinator supporting senior-level operations.
- Proven experience with dynamic/variable pricing software (e.g., PriceLabs, Airbnb Smart
- Pricing, Expedia) and short-term rental or property management operations.
- Strong analytical skills with the ability to interpret data and generate actionable insights.
- Exceptional verbal and written communication skills in English.
- Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar) or Microsoft Office Suite.
- Familiarity with CRM and project management tools such as HubSpot, ClickUp, Asana, Trello, or Notion.
- Excellent organizational, problem-solving, and multitasking abilities.
- High level of discretion and professionalism when handling sensitive information.
